Job Title: Philanthropy Coordinator
Reports to: Chief Philanthropy Officer
Position Overview:
The Philanthropy Coordinator will perform administrative department functions and support the Philanthropy Team with events interacting with donors and overseeing the senior rides program and travel missions. The position involves working regularly with many different internal and external audiences: donors prospective donors volunteers staff and outside vendors and service providers. Its an ideal opportunity for someone who is detail-oriented organized and excited to grow in nonprofit work.
Essential Functions/Responsibilities:
Database Management
- Manage and maintain entry of all gifts and creation of batch files in donor database (Blackbaud and soon to be new database Microsoft Dynamics)
- Enter all philanthropy department event registrations into database.
- Create database profiles for new constituents.
- Update database records with new phone numbers addresses email and other pertinent information.
- Reconcile donations with the Finance Department as needed.
- Add notes documentation interactions and pop-up notes on donor profiles.
- Document donor assignments for internal portfolio management.
Events
- Build and maintain online event registration pages track registrations record payments record special requests and assist with follow-up calls to guests.
- Assist as needed in running database reports for event invitation lists.
- Research prior gift information for potential event attendees.
- Assemble marketing and other materials for events.
- Confirm details with venues/hosts and handle deliveries and other basic logistics.
- Provide administrative support for all fundraising events as assigned by senior philanthropy team.
Fundraising Administration
- Thank you calls to donors.
- Manage donor acknowledgement process including writing custom letters.
- Record and send tributes.
Administrative Support
- Provide administrative support to philanthropy team such as filing data entry copying mailing and emailing.
- Assist in scheduling donor meetings.
- Answer calls and respond to donor inquiries.
- Assemble donor folders pledge forms gift histories.
- Complete purchase orders as requested.
- Oversee Senior Rides program; act as a liaison between CJP and Envoy the transportation company; track expenses handle rider phone calls.
- Track Mission participants and prepare and send communications related to meetings and other related information.
- Other duties as assigned.
Schedule: This is a full-time position.
Education/Experience/Skills/Abilities/Characteristics
- Associate or bachelors degree in a related field.
- Minimum of one to three years relevant experience preferably in a nonprofit fundraising environment
- 1-2 years database management experience is preferred. Blackbaud experience a plus but not required.
- Knowledge of familiarity with the Phoenix Jewish Community a plus but not required.
- Excellent oral and written communication skills.
- Ability to organize and prioritize work.
- Ability to work independently with little supervision.
- Excellent interpersonal skills.
- A self-starter data and deadline driven and ability to multi-task with solid organizational and time-management skills.
- Demonstrated team player with strong collaboration abilities.
- Highly skilled with Microsoft Excel Word and PowerPoint.
Salary and Benefits
Salary range: $50000$60000 commensurate with experience
