Job Summary

A motivated organized cheerful person. This role is pivotal in providing excellent customer service managing office operations and supporting real estate agents and management in their daily activities.

Responsibilities
Reception Duties
  • Greet clients and visitors warmly ensuring a welcoming environment.
  • Answer and direct incoming calls taking messages as necessary.
  • Manage appointments and scheduling for agents management and clients.
Administrative Support
  • Assist with administrative tasks including data entry filing and document preparation.
  • Maintain and update client databases and records.
  • Prepare and distribute marketing materials and property listings.
  • Organise lunch meals for staff daily
  • Organise and ensure at all times there is sufficient supply of office teas and cleaning
  • Manage and ensure at all times the reception area and offices are neat and tidy.
  • Ensure that the CCTV monitor / TV is working at all times any challenges to be reported to management asap.
Coordination
  • Coordinate property viewings and open houses.
  • Liaise with clients vendors and contractors as needed.
  • Assist in organizing office events and meetings.
Customer Service
  • Respond to client inquiries promptly and professionally.
  • Provide information about properties and services offered by the agency.
  • Handle client complaints with diplomacy and efficiency.

  • Excellent verbal and written communication skills.
  • Customer-focused with a friendly demeanor.
  • Ability to work independently and as part of a team.
  • Detail-oriented with strong problem-solving abilities.
  • Proficient in Microsoft Office Suite and real estate software (e.g. MLS).
  • Strong organizational and multitasking skills.
Qualifications
  • High school diploma or equivalent; additional education in business administration is a plus.
  • Previous experience in a receptionist or administrative role preferably in real estate.
