Responsibilities
Reception Duties
- Greet clients and visitors warmly ensuring a welcoming environment.
- Answer and direct incoming calls taking messages as necessary.
- Manage appointments and scheduling for agents management and clients.
Administrative Support
- Assist with administrative tasks including data entry filing and document preparation.
- Maintain and update client databases and records.
- Prepare and distribute marketing materials and property listings.
- Organise lunch meals for staff daily
- Organise and ensure at all times there is sufficient supply of office teas and cleaning
- Manage and ensure at all times the reception area and offices are neat and tidy.
- Ensure that the CCTV monitor / TV is working at all times any challenges to be reported to management asap.
Coordination
- Coordinate property viewings and open houses.
- Liaise with clients vendors and contractors as needed.
- Assist in organizing office events and meetings.
Customer Service
- Respond to client inquiries promptly and professionally.
- Provide information about properties and services offered by the agency.
- Handle client complaints with diplomacy and efficiency.

Qualifications
- High school diploma or equivalent; additional education in business administration is a plus.
- Previous experience in a receptionist or administrative role preferably in real estate.
