Job Summary

Our client is looking for a highly organized and professional Office Manager to lead their front-of-house operations and ensure the seamless management of their head office facilities.

Key Responsibilities:
Receive and welcome visitors and guests at reception ensuring professional front-of-house experience.
Coordinate and escort visitors as needed and direct them to the appropriate personoffice or meeting room.
Answer screen and forward incoming phone calls.
Provide reception and administrative support to internal and external stakeholders responding to queries and directing requests appropriately.
Maintain reception security and access control by applying site procedures issuing visitor access as required.
Maintain the office environment and reception area to an appropriate standard including stationery control and office supplies replenishment.
Serve as a point of contact for general office complex queries escalating matters to the relevant internal stakeholder or service provider as required.
Coordinate deliveries couriers and service provider access to site ensuring items and documents are received and routed to the correct recipient.
Maintain accurate office records (e.g. supplier contacts service schedules and facilities documentation) and perform general administrative duties as required.
Provide day-to-day supervision of cleaners gardeners and guards on a day-to-day basis including task allocation work schedules/rosters attendance monitoring and quality checks to ensure the office complex and gardens are maintained to required standards.
Maintain a repairs and maintenance log for complex buildings equipment and furniture schedule and grounds equipment. Liaise with repairs maintenance cleaning gardening security and other service providers. Coordinate quotations and approvals; and track work orders through to completion.
Provide administrative support to management including coordinating diaries and meetings and booking air tickets and hotel accommodation in line with approved travel plans.
Prepare and circulate travel itineraries and coordinate transport arrangements (e.g. airport transfers and local transport) for management and visitors as required.
Supervise the Driver and maintain an up-to-date errands and travel schedule in accordance with the requirements of the CEO GM and Facilities Management office.
Coordinate company events as required participate in relevant working groups and travel when necessary.
Support procurement of office and facilities-related goods and services and coordinate the submission and processing of supplier invoices in line with internal procedures.
General Administration: Maintain and distribute the internal telephone list; oversee the day to-day upkeep of the office complex gardens and immediate surroundings; coordinate the identification reporting and resolution of premises defects to an acceptable standard; manage alternative power facilities including generator availability fueling and maintenance; ensure hygiene and housekeeping standards are maintained (including ablution areas); manage meeting rooms and shared facilities; and coordinate relevant activities with other complex tenants.
Oversee the office budget ensuring accurate and timely reporting.
Will be required to manage office layout moves refurbishments space and negotiate with contractors and suppliers.
Any other duties as assigned by Line Manager CEO or General Manager.

Key Qualifications:
Advanced Diploma in Executive Secretarial or a bachelors degree in administration or any related qualification
Proven experience as an Office Manager Front Office Manager or Administrative Assistant
Minimum of two (2) years experience in managing a reception customer service and office building management.
Excellent written and verbal communication skills as well as competency in Microsoft Office applications
