Job Summary
The Patient Services Representative Urgent Care Center serves as the first point of contact for patients and visitors in a fast-paced clinical environment. The front office position plays a vital role in ensuring and exceeding the expectations of the patient. This role is responsible for patient registration insurance verification scheduling and collecting payments while ensuring a positive and professional patient experience. The Patient Services Representative supports the daily operations of the urgent care center through effective communication customer service and administrative accuracy.
Essential Functions
- Greets patients and visitors promptly and professionally ensuring a welcoming and courteous environment.
- Registers patients by verifying demographic insurance and financial information accurately and efficiently.
- Collects copays and balances posts payments and provides receipts in accordance with facility protocols.
- Schedules follow-up appointments and coordinates referrals as directed by clinical staff or providers.
- Answers multi-line phones responds to patient inquiries and routes calls to appropriate departments.
- Ensures all required forms consents and documents are completed and scanned into the electronic medical record (EMR).
- Analyzes health insurance benefits insurance eligibility and obtains necessary authorizations or referrals as needed.
- Maintains the cleanliness and organization of the front desk waiting area and shared workspaces.
- Communicates effectively with clinical and non-clinical team members to support efficient patient flow.
- Maintains confidentiality of patient information in accordance with HIPAA and OSHA compliance as well as all organizational policies.
- Support staffing and operational needs by traveling to other Urgent Care locations as required.
- Performs other duties as assigned.
- Maintains regular and reliable attendance.
- Complies with all policies and standards.
Qualifications
- 1-2 years of customer service administrative or healthcare front office experience required
- Prior experience in a clinic urgent care or physician office setting preferred
Knowledge Skills and Abilities
- Strong customer service and interpersonal skills in a fast-paced setting.
- Ability to accurately collect and enter data with attention to detail.
- Proficient in the use of EMR systems scheduling tools and basic office software.
- Strong computer skills required with the ability to efficiently multitask and work across multiple screens simultaneously.
- Ability to multitask problem-solve and remain calm under pressure.
- Knowledge of insurance verification and medical billing procedures.
- Excellent verbal and written communication skills.
- Ability to work 12-hour shifts including some weekends and holidays.
