Position Overview
The Remote Administrative Clerk Assistant provides clerical and administrative support to ensure the smooth functioning of daily business operations. This role focuses on data entry document preparation scheduling record maintenance and general administrative coordination in a fully remote work environment.
The ideal candidate is organized dependable and comfortable supporting a professional services team with structured administrative tasks.
Key Responsibilities
Clerical Support
Perform accurate data entry and maintain internal databases
Organize file and archive digital project documents
Prepare and format correspondence reports and spreadsheets
Assist with document tracking and version control
Administrative Assistance
Monitor shared inboxes and distribute incoming communications
Schedule meetings and manage shared calendars
Draft routine communications and acknowledgements
Take meeting minutes and circulate summaries
Financial & Operational Support
Assist with invoice preparation and expense tracking
Update timesheets and support payroll documentation
Maintain vendor and subscription records
Support onboarding documentation for new hires
General Office Duties
Maintain organized cloud-based filing systems
Update client contact lists and CRM records
Support compliance with internal administrative procedures
Provide additional clerical support to project teams as needed
Requirements
12 years of clerical or administrative experience
Strong attention to detail and organizational skills
Proficiency in Microsoft Office and/or Google Workspace
Ability to work independently in a remote environment
Good written and verbal communication skills
Professional discretion and ability to handle confidential information

Qualification Professional degree in Landscape Architecture (BLA/MLA or equivalent); advanced degrees a plus. Significant professional experience (often 7 years or more) in landscape and urban design projects. Strong portfolio demonstrating leadership on complex multi-layered landscape projects. Proficiency in landscape design and documentation tools (AutoCAD Adobe Creative Suite GIS/3D tools). Excellent presentation graphic communication and interpersonal skills.
