Position Overview
The Front Office Administrative Assistant is the first point of contact for internal and external communications ensuring smooth day-to-day operations in a remote work environment. This role combines front-office administration general clerical support and operational coordination to help maintain an organized and professional workflow for the firm.
The ideal candidate is highly organized personable detail-oriented and comfortable managing multiple administrative tasks remotely.
Key Responsibilities
Front Office & Communication Support
Serve as the initial point of contact for email phone and virtual inquiries
Route client and vendor communications appropriately
Draft proofread and format professional correspondence
Maintain and update contact lists and internal directories
Administrative & Office Support
Manage shared calendars and schedule virtual meetings
Prepare reports presentations and documents for internal and client use
Take meeting minutes and distribute action items
Organize and maintain digital filing and document control systems
Operational & Project Assistance
Assist with invoicing expense tracking and basic financial documentation
Support onboarding of new staff and internal HR documentation
Track project documentation deadlines and maintain project records
Collaborate with project teams to ensure smooth administrative workflows
Requirements
12 years experience in administrative or front office roles
Strong organizational and time-management skills
Excellent written and verbal communication skills
Proficiency in Microsoft Office and/or Google Workspace
Ability to work independently in a remote setting

Qualification Professional degree in Landscape Architecture (BLA/MLA or equivalent); advanced degrees a plus. Significant professional experience (often 7 years or more) in landscape and urban design projects. Strong portfolio demonstrating leadership on complex multi-layered landscape projects. Proficiency in landscape design and documentation tools (AutoCAD Adobe Creative Suite GIS/3D tools). Excellent presentation graphic communication and interpersonal skills.
