Position Overview
The Administrative Associate plays a key role in supporting the firms administrative operational and coordination functions. This position requires a highly organized detail-oriented professional who can manage multiple priorities maintain accurate documentation and ensure efficient workflow in a remote work environment.
The role bridges administrative support light operational coordination and internal communication to help project teams and leadership operate effectively.
Key Responsibilities
Manage executive and team calendars scheduling meetings and coordinating appointments
Monitor shared inboxes and route communications appropriately
Prepare proofread and format reports proposals and internal documentation
Maintain organized digital filing systems and document control processes
Project & Team Coordination
Assist with preparation of client submissions and presentation materials
Track deadlines and support project milestone documentation
Coordinate internal meetings record minutes and distribute action items
Support onboarding processes for new hires
Financial & Compliance Support
Assist with invoice preparation and expense tracking
Maintain timesheet logs and support payroll documentation
Help track vendor contracts renewals and subscriptions
Ensure administrative processes comply with internal standards
Data & Records Management
Update CRM systems and maintain accurate client contact databases
Compile reports and assist leadership with internal data summaries
Ensure confidentiality of sensitive business and personnel information
Requirements
2 years experience in administrative office coordination or operations support
Strong organizational and time-management skills
Excellent written and verbal communication skills
Proficiency in Microsoft Office and/or Google Workspace
Ability to work independently in a remote setting
High attention to detail and discretion

Qualification Professional degree in Landscape Architecture (BLA/MLA or equivalent); advanced degrees a plus. Significant professional experience (often 7 years or more) in landscape and urban design projects. Strong portfolio demonstrating leadership on complex multi-layered landscape projects. Proficiency in landscape design and documentation tools (AutoCAD Adobe Creative Suite GIS/3D tools). Excellent presentation graphic communication and interpersonal skills.
