Position Overview
The Remote Information Clerk is responsible for managing maintaining and organizing digital information and records across the practice. This role ensures that project documentation internal data and client records are accurate accessible and securely maintained in a remote work environment.
The ideal candidate is detail-oriented highly organized and comfortable handling structured information systems while supporting a professional design team.
Key Responsibilities
Information & Records Management
Maintain and update digital filing systems and document databases
Ensure accurate data entry and record keeping across projects
Organize and archive project files in accordance with internal procedures
Monitor document version control and ensure proper naming conventions
Data & Reporting Support
Compile and update internal reports and data summaries
Maintain client contact databases and CRM systems
Assist with tracking project documentation deadlines
Support data audits and internal compliance checks
Communication & Administrative Support
Respond to general information requests and route enquiries appropriately
Assist with preparing documentation for client submissions
Coordinate meeting records and distribute information to relevant team members
Support onboarding documentation and internal communications
Confidentiality & Compliance
Safeguard sensitive client and business information
Ensure data protection standards are maintained
Assist with maintaining compliance documentation where required
Requirements
12 years of clerical records management or administrative experience
Strong attention to detail and organisational skills
Proficiency in Microsoft Office and/or Google Workspace
Ability to manage digital document systems efficiently
Strong written and verbal communication skills
Ability to work independently in a remote environment

Qualification Professional degree in Landscape Architecture (BLA/MLA or equivalent); advanced degrees a plus. Significant professional experience (often 7 years or more) in landscape and urban design projects. Strong portfolio demonstrating leadership on complex multi-layered landscape projects. Proficiency in landscape design and documentation tools (AutoCAD Adobe Creative Suite GIS/3D tools). Excellent presentation graphic communication and interpersonal skills.
