Job Summary

This is a remote position.

We are looking for a proactive organized and detail-oriented Remote Administrative Assistant to support the firms administrative operations and help streamline internal processes. This role involves communication coordination scheduling documentation and general office support to ensure smooth remote workflows across teams.

Key Responsibilities

Manage day-to-day administrative tasks including email correspondence calendar coordination travel bookings and scheduling for principals and project teams.

Act as the first point of contact for client inquiries and external partners responding professionally by phone email or other channels.

Prepare and format internal and external documents presentations reports and client proposals.

Maintain organized digital filing systems for project records contracts and office documents.

Support HR/admin functions such as onboarding paperwork timesheet tracking and benefits documentation.

Coordinate remote meeting logistics (e.g. Zoom/Teams setup agenda preparation minute taking).

Assist with invoicing expense reports and basic bookkeeping tasks in coordination with finance.

Collaborate across departments to ensure remote workflows are clear consistent and timely.

Requirements

Proven experience (2 years) as an Administrative Assistant Office Coordinator or similar role remote experience preferred.

Exceptional organizational and time-management skills.

Strong verbal and written communication skills.

Comfortable with standard remote working tools (e.g. Google Workspace Microsoft Office Zoom).

High level of discretion professionalism and the ability to manage confidential information.

Ability to work independently juggle multiple priorities and adapt in a dynamic design environment.

Desired Skills & Attributes

Experience in an architecture design or professional services environment is a plus.

Familiarity with project management tools (Asana Trello ) and basic accounting platforms (QuickBooks Xero).

Required Skills:

Qualification Professional degree in Landscape Architecture (BLA/MLA or equivalent); advanced degrees a plus. Significant professional experience (often 7 years or more) in landscape and urban design projects. Strong portfolio demonstrating leadership on complex multi-layered landscape projects. Proficiency in landscape design and documentation tools (AutoCAD Adobe Creative Suite GIS/3D tools). Excellent presentation graphic communication and interpersonal skills. Ability to mentor junior staff and work collaboratively in a small studio environment. Personal Attributes Passion for sustainable people-centered design and a commitment to ecological stewardship.
