Job Summary

This is a remote position.

Pirie Associates Architects is a collaborative design-led architectural practice focused on delivering thoughtful sustainable and community-driven projects. We are seeking a highly organized and proactive Remote Office Assistant to support the smooth day-to-day administrative operations of the practice. This role is ideal for someone who thrives in a structured yet creative professional environment and enjoys supporting a dynamic design team.

The successful candidate will play a key role in maintaining efficient workflows coordinating communications and supporting internal business functions in a remote setting.

Key Responsibilities

Administrative Support

Manage shared inboxes and route communications appropriately

Coordinate calendars meetings and virtual appointments

Prepare format and proofread documents reports and presentations

Maintain digital filing systems and ensure document version control


Office & Operations Coordination

Assist with procurement of office supplies and software subscriptions

Support onboarding documentation for new team members

Track timesheets and assist with internal reporting

Maintain internal databases and CRM systems


Finance & Project Assistance

Support invoice preparation and expense tracking

Assist with project documentation and contract administration

Coordinate consultant and supplier communications as needed


Communication & Client Support

Act as first point of contact for general enquiries

Assist in preparing client proposals and submission documents

Take meeting minutes and circulate action points

Requirements

13 years experience in an administrative or office support role

Strong organizational and multitasking abilities

Excellent written and verbal communication skills

Proficiency in Microsoft Office and/or Google Workspace

Comfortable working independently in a remote environment

High level of discretion and professionalism


Desirable Skills

Experience in architecture construction or professional services

Familiarity with project management tools (e.g. Asana Trello)

Basic bookkeeping knowledge (e.g. Xero or QuickBooks)

Understanding of document control processes

Required Skills:

Qualification Professional degree in Landscape Architecture (BLA/MLA or equivalent); advanced degrees a plus. Significant professional experience (often 7 years or more) in landscape and urban design projects. Strong portfolio demonstrating leadership on complex multi-layered landscape projects. Proficiency in landscape design and documentation tools (AutoCAD Adobe Creative Suite GIS/3D tools). Excellent presentation graphic communication and interpersonal skills. Ability to mentor junior staff and work collaboratively in a small studio environment. Personal Attributes Passion for sustainable people-centered design and a commitment to ecological stewardship. Strong critical thinking problem-solving and design research skills. Effective at balancing creative leadership with practical project delivery.
