Position Summary
The Remote Clerical Assistant provides essential administrative and clerical support to ensure efficient day-to-day operations across the practice. This role focuses on document handling data entry communication support and maintaining accurate digital records in a remote working environment.

Key Responsibilities
Clerical & Administrative Support
Perform data entry and maintain accurate digital records
Organize file and archive project documentation electronically
Prepare and format letters reports spreadsheets and presentations
Assist with document control and version tracking
Communication Support
Monitor shared inboxes and forward enquiries appropriately
Draft routine correspondence and acknowledgements
Schedule meetings and maintain team calendars
Take meeting minutes and distribute action items
Finance & Reporting Assistance
Support invoice processing and expense tracking
Maintain timesheet logs and update internal databases
Assist with compiling reports for internal review
General Office Duties
Maintain organized cloud-based filing systems
Update contact lists and CRM records
Support onboarding documentation for new staff
Assist with procurement tracking and vendor records
Requirements
12 years experience in a clerical or administrative role
Strong attention to detail and organizational skills
Proficiency in Microsoft Office and/or Google Workspace
Comfortable working independently in a remote environment
Good written and verbal communication skills
Ability to handle confidential information with discretion

Qualification Professional degree in Landscape Architecture (BLA/MLA or equivalent); advanced degrees a plus. Significant professional experience (often 7 years or more) in landscape and urban design projects. Strong portfolio demonstrating leadership on complex multi-layered landscape projects. Proficiency in landscape design and documentation tools (AutoCAD Adobe Creative Suite GIS/3D tools). Excellent presentation graphic communication and interpersonal skills.
