Sales and Reservations Supervisor (Remote Tourism Industry)
Package: $1000 - $1500 with salary review and potential trips to Vanuatu
Working hours: Aligned with Vanuatu FT 40hrs/week

This role focuses on leisure travel FITs and inbound groups aiming to connect new markets support industry growth disperse tourists across various locations and promote sustainability and quality in the tourism sector.
Key Tasks
- Respond to quotation requests design itineraries and prepare quotations using relevant software.
- Design itineraries and select products based on customer needs.
- Prepare quotations tailored to client requirements.
- Book services and issue travel documentation (e.g. travel vouchers confirmations).
- Review and approve quotations prepared by other team members.
- Ensure that all Booking Logs are accurate completed and reservations made with suppliers.
- Review and send out Travel Vouchers to customers and suppliers.
- Keep the software up to date with correct product descriptions prices etc.
- Manage the Lead Log for all potential customers and work with leadership to allocate tasks among sales staff.
- Prepare invoices for confirmed bookings using Xero software and ensure timely payment.
- Calculate customer refunds when due and submit for processing.
- Prepare group/tier-priced group quotations.
- Ensure suppliers complete appropriate paperwork to maintain registration.
- Ability to design and deliver evaluation tools (post-trip) and management reports is a bonus.
- Other sales and administrative duties as directed.
As a remote worker it is essential to be part of the team:
- Participate in 1-2 online meetings per week to review and manage the Lead Log with other sales staff and build teamwork.
- Training will be provided on software industry knowledge and supplier product features.
- After 18 months (subject to performance and continued interest in the position) a 7 10-day familiarisation visit will be arranged and covered. This may be repeated in future years.
- The team on the ground focuses on making reservations with suppliers booking airfares and managing customer itineraries once in-country.
Key Outcomes
- All quotations sent out within 48 working hours.
- All Booking Logs Travel Vouchers and other paperwork completed in a timely manner.
- Software remains accurate and up to date.
- Lead Log 100% accurate and up to date.
- Invoices accurate and paid on time.
- Refunds processed accurately.
