We are Australias largest practice management and clinical records platform for private medical specialists handling everything a specialist practice runs on: appointments billing clinical records referral management prescribing and reporting. When a practice makes the decision to move toXestro the data conversion process is one of the most consequential steps in getting them up and running with confidence and this role sits right at the heart of it.

The Role

This is an operational role not a technical one. That distinction matters.

The actual data conversion work is handled by our development team. Your role is to coordinate everything around it. You will be the primary point of contact for practices onboarding toXestro guiding them through the process managing their expectations and making sure that both they and our developers have everything they need at every stage.

In practice that means you will be working across three groups simultaneously: the clinic or practice going through the conversion our internal development team running the trial and final conversions and in many cases the practices own IT team as well. Keepingall ofthose parties aligned informed and moving in the right direction is at the heart of what this role involves.

Day to day you will be:

  • Acting as the customers primary point of contact throughout their data conversion and onboarding journey
  • Coordinating between our development team and the practice to keep trial and final conversions on track
  • Liaising with practice IT teams where required to ensure technical prerequisites are met ahead of conversion
  • Reviewing converted data carefully toidentifyand resolve discrepancies between how data appeared in the original PMS and how it has been imported intoXestro
  • Managing multiple conversions concurrently each at a different stage in the process
  • Communicating clearly and confidently with non-technical stakeholders about processes that can feel unfamiliar or daunting
  • Keeping detailed records andmaintainingclear documentation throughout each conversion project

A Note on the Technical Side

You do not need a background in software development or data engineering to succeed in this role. What you do need is a genuine curiosity about how systems work a comfort level with technical language and the confidence to ask the right questions when something does not look right.

Some of the best people in roles like this have come from practice management healthcareadministrationor customer-facing operations backgrounds. If you understand how clinical data is used in a healthcare setting that knowledge will serve you extremely well here.

Who Were Looking For

This role rewards people who are thorough organised and genuinely enjoy the process of working through complexity until it makes sense. You will need to be comfortable holding a customers hand through an unfamiliar process while simultaneously managing the technical side of things with our development team.

You will bring:

  • Experience in a coordinationoperationsor project management role ideally in a healthcare or technology environment
  • A sharp eye for detail and a low tolerance for data that does not look quite right
  • Confidence managing multiple projects at once without letting things slip
  • Strong communicationskills and the ability to translate between technical and non-technical stakeholders
  • Familiarity with practice management software whether from working in a clinic a healthcarebusinessor a software environment
  • A calm methodical approach when things get complicated because they sometimes will
  • Natural curiosity about systems and processes and a willingness to develop a solid understanding of howXestroworks under the hood
