Key Responsibilities:
Reception & Front Office Management
- Serve as the first point of contact for visitors clients and incoming calls.
- Manage the reception desk and waiting area ensuring a professional and welcoming environment.
- Answer screen and direct telephone calls promptly and professionally.
- Receive and distribute incoming mail courier deliveries and correspondence.
- Coordinate meeting room bookings.
Administrative Support
- Provide administrative support to a large team including scheduling document preparation and filing.
- Manage diaries appointments and meeting arrangements where required.
- Assist with preparation of reports presentations and internal documents.
- Maintain accurate records and filing systems (physical and electronic).
- Order office supplies and coordinate with vendors.
Accounts Assistance
- Assist with basic accounts administration such as:
- Processing invoices
- Capturing expenses
- Assisting with reconciliations
- Following up on payments or documentation
- Provide support to the finance team when required.
Key Skills:
- Exposure to basic accounting or bookkeeping tasks will be an advantage.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- High level of professionalism and discretion.
- Proficient in Microsoft Office (Word Excel Outlook).
Key Qualifications:
- Minimum 10 years experience in a receptionist administrative or office support role.
- Experience working in a fast-paced or high-pressure professional environment.
- Previous experience supporting a large team or busy office.
