ORGANISATIONAL CONTEXT AND JOB PURPOSE

The Business Support Assistant - Ditwa Response will operate as part of the emergency surge team under the direct supervision of the Deputy Country Director. This role is embedded within the organizations humanitarian response framework which aims to deliver timely and effective assistance to communities affected by Cyclone Ditwa and subsequent flooding. The position will support field operations in Badulla District ensuring that programme activities are implemented efficiently and in alignment with organizational standards and emergency protocols.

The incumbent will work closely with programme and operational teams to provide the support to maintain continuity of services facilitate coordination and uphold accountability in all aspects of the emergency response.

KEY RESPONSIBILITIES (not all-inclusive nor exhaustive):

Provide essential support for emergency response operations in ensuring smooth functioning of surge activities.

Collect sort and disseminate correspondence reports and other materials promptly to meet the urgent demands of the Ditwa Cyclone response.

Respond to routine queries and escalate critical issues to ensure timely and accurate service during the emergency surge period.

Support the maintenance of office files documents and records in accordance with established systems and processes ensuring information is current and readily available for response teams.

Undertake standard data entry tasks in line with defined systems to maintain organized and accessible information for emergency operations.

Assist in logistical arrangements for field missions meetings and events related to the Ditwa emergency response including coordination with surge teams.

Perform any other related duties as assigned by the supervisor to support ongoing emergency relief efforts.

STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE:

Education:

Completion of secondary school education.

Experience:

Three or more years of experience in general administrative work.

Knowledge & Skills/ anguage:

  • Ability to use standard office equipment such as photocopiers and
  • Prior experience in WFP sensitization work during emergencies.
  • Sensitivity towards ground-level situations and community needs.
  • High level of integrity and ability to maintain confidentiality.
  • Proficient in MS Office applications.
  • Basic knowledge of country context and local insights.
  • Strong interpersonal skills and ability to work as a team player.
  • Good attention to detail to identify data discrepancies.
  • Ability to work to deadlines and follow clear instructions.
  • Strong oral and written communication skills in Sinhala and/or Tamil and English.
