JOB DESCRIPTION:
We are seeking a highly organised and detail-driven Admin Assistant Tenders & Contracts to support the business in preparing managing and coordinating tender submissions and contract documentation. This role is ideal for someone who has worked in building and construction administration understands the importance of compliance and documentation accuracy and can confidently handle contracts tender portals and document control.
Qualifications and Skills
Proven experience in administration with a strong focus on contracts tenders or document control
High attention to detail able to spot errors inconsistencies missing information and formatting issues
Experience creating compiling or managing contracts (templates terms attachments revisions)
Strong written communication skills and ability to produce professional client-facing documents
Excellent organisational skills and ability to manage multiple deadlines
Highly Desirable (Strong Advantage)
Previous admin experience in a building construction or trade services company
Understanding of construction documentation (scope of works schedules variations compliance documents)
Experience with estimating support subcontractor coordination or project admin
Key Responsibilities
Tender & Contract Administration
Prepare compile and format tender submissions in line with client requirements
Manage tender documentation including scope pricing schedules schedules and supporting forms
Assist with contract creation review and preparation (templates terms attachments and variations)
Maintain contract registers and ensure documentation is correctly filed and version-controlled
Coordinate signatures and approvals (internal and external stakeholders)
Track key deadlines tender closing dates contract milestones and submission schedules
Communication & Coordination
Liaise with subcontractors suppliers and internal staff to gather tender requirements and documentation
Follow up outstanding items and ensure timely submission
Coordinate with estimating operations and management teams for tender inputs
Support client communication related to tender clarifications submission confirmations and documentation requests
General Administration Support
Assist with scheduling email coordination and general office administration
Maintain internal systems and databases related to tender and contract workflows
Provide support to the operations team as needed during peak tender periods
