JOB SUMMARY:
The Marketing Administrative Assistant will support the Marketing team with operational administrative and coordination tasks essential for the efficient execution of marketing activities. This role ensures smooth daily functioning of the department assists with campaign execution support asset management tracking and communication with internal teams and external partners.
KEY RESPONSIBILITIES:
Marketing Operations Support
Coordinate administrative tasks for marketing campaigns events launches and internal meetings.
Schedule and manage team calendars deadlines and project timelines.
Prepare meeting agendas take minutes and distribute follow-up notes.
Support marketing event logistics (virtual/in-person) including vendor communication registrations and material preparation.
Content & Asset Management
Organize and maintain the marketing asset library (content images product visuals templates).
Assist in updating and creating website content and social media calendars as directed.
Support preparation and distribution of marketing collateral.
Help ensure brand assets are up-to-date tagged and accessible for cross-functional teams.
Documentation & Reporting
Compile and maintain reports on campaign performance engagement metrics and project status.
Assist with data entry and tracking in marketing systems (CRM email platforms shared drives).
Prepare and format presentations reports and summaries for internal stakeholders.
Stakeholder Collaboration
Liaise with internal teams (Sales Customer Care Regulatory Product) to support marketing initiatives.
Communicate with external vendors and agencies for scheduling asset delivery and administrative coordination.
General Administrative Duties
Requirements
Bachelors degree in Marketing Communications Business Administration or related field preferred.
13 years of administrative support experience ideally within marketing communications or related functions.
Experience using C4C is a plus.
Experience using Canva.
Experience in healthcare medical devices or digital health a plus.
Strong organizational and multitasking abilities with attention to detail.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook).
Comfortable with digital tools/platforms (CRM email marketing platforms project tracking software).
Basic analytical skills and an understanding of marketing metrics.

At least 3 years experience in Digital Marketing Intermediate Word and Excel skills Excellent oral and written communication skills Knowledge of relevant marketing tools and applications Ability to work under pressure and meet deadlines CRM & Email Marketing: Intermediate to advanced skills in Zoho (or similar). Were keen on leveraging this platform even more. WordPress Publishing: Whilst the primary responsibility is publishing articles and blogs development capability would be an advantage. Design: Intermediate skills in Canva. Social Media: Beginner to intermediate skills. Our focus is on promoting our great work rather than being overly complex. SEO: While we use an external firm for SEO youll need to understand how to execute on their instructions and publish according to their guidelines. Analytics and Reporting: Monthly reporting of the success of our marketing efforts across all channels. Strong Organisational Skills: Youll have a lot of balls to juggle so the ability to prioritise and excel in internal communications is essential.
