Working Hours: Monday-Friday 40hrs/week with overlap in US Time Zone

Salary Range: $1500-$3000/month

About the Role: The Operations and Procurement Specialist will be a critical part of the team responsible for ensuring the efficient and cost-effective acquisition of goods and services necessary for the companys operations within the natural foods and vitamins industry. This role will manage the end-to-end procurement process for a grocery store chain optimize supply chain logistics and support day-to-day operational functions working closely with various departments. A key function is to handle the day-to-day purchasing and inventory management tasks.

Core Responsibilities:

  • Procurement Management: Manage the full procurement lifecycle and supplier relationship management to ensure the best value quality and delivery terms. This includes communicating with the primary distributor to negotiate pricing terms and scheduling of deliveries.
  • Inventory & Supply Chain Optimization: Monitor inventory levels analyze purchasing trends and collaborate with store and warehouse teams to forecast demand and maintain optimal stock levels minimizing waste and stockouts.
  • Logistics Coordination: Coordinate logistics ensuring timely and cost-effective movement of goods from vendors to warehouses and stores.
  • Cost Control & Analysis: Conduct regular cost analyses identify opportunities for savings and process improvements and maintain accurate records of all procurement and operational expenses. Leverage tools and processes to improve the efficiency of procurement operations and suggest process improvements to streamline tasks.
  • Operational Support: Assist with operational projects which may include supporting new store openings managing equipment procurement or coordinating facility maintenance and repairs.
  • Documentation & System Management: Maintain organized and up-to-date procurement documentation vendor files and ensure accurate data entry in procurement and inventory management systems.

Required Experience & Skills:

  • Experience: 3-5 years of relevant experience in Procurement Purchasing Supply Chain Management or a related Operations role preferably in the grocery/food industry.
  • Technical Proficiency: Strong competency in any procurement software inventory management systems (e.g. ERP) and Microsoft Office/Google Workspace particularly advanced spreadsheet skills for data analysis. Strong data entry and analytical skills to manage inventory levels and ordering.
  • Negotiation & Communication: Proven ability to effectively negotiate contracts and build strong collaborative relationships with vendors and internal stakeholders.
  • Organization & Detail: Highly organized and detail-oriented with the capability to manage multiple purchase orders contracts and projects simultaneously.
  • Analytical Skills: Strong analytical and problem-solving skills to forecast needs identify supply chain risks and optimize cost.

Highly Preferred:

  • Industry Experience: Familiarity with grocery/food products and appropriate inventory levels natural foods and vitamins or the retail industry is highly advantageous.
  • Experience with regulatory processes related to food/grocery product sourcing and logistics.
  • Preference for candidates in the same time zone but not a strict requirement.

Success Metrics:

  • Demonstrated cost savings achieved through effective negotiation and procurement strategies.
  • Improvement in key supply chain metrics (e.g. on-time delivery inventory accuracy lead time reduction).
  • Positive feedback from internal stakeholders on the efficiency and responsiveness of the procurement and operations support.
