This is a grant-funded position.

Position Overview:

The Ryan White Grant Administration Program Coordinator will ensure the smooth functioning of Ryan White Grant Administration (RWGA) through the monitoring and expediting of administrative activities. Duties involve latitude for decision making in carrying out administrative functions processing/tracking Accounts Payables and managing logistics involving meetings travel arrangements office inventory and court requests. The position serves as the RWGA Program Managers assistant and coordinates special projects as needed.


Duties & Responsibilities:

  • Coordinate day-to-day office operations including supplies equipment facilities and vendor relationships
  • Prepare process and track requests for purchase orders invoices and reimbursement requests to ensure accurate and prompt handling
  • Functions as the RWGA Program Managers assistant and assists with special projects involving the Program Manager
  • Prepares coordinates and maintains materials and logistics for RWGA sponsored meetings training sessions and staff travel arrangements
  • Assists in the preparation and process of Commissioners Court requests letters and attachments
  • Maintains the office supply inventory processes supply orders and completes tracking forms to monitor and track supply orders and administrative expenditures
  • Responsible for maintaining and updating the RWGA administrative policies & procedures
  • Serve as the primary point of contact for office-related inquiries and communications.
  • Ensure timely dissemination of internal communications and updates.
  • Other duties as assigned

Requirements

Education:

  • High School Diploma or Equivalent

Experience:

  • At least one (1) year experience performing administrative office managerial duties in a health care public sector nonprofit or grant-funded environment

Knowledge Skills and Abilities:

  • Strong organizational problem-solving and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint) and familiarity with virtual collaboration tools (Teams Zoom etc.).
  • Ability to establish and maintain cooperative relationships with others.

General Information

Position Type and Typical Hours of Work:

  • This is a Full-Time Grant-Funded position
  • Days and hours of work are typically Monday through Friday from 8 am to 5 pm
  • Other days and hours as necessary

Work Environment:

  • This job operates remotely and in a professional office environment. This role routinely uses standard office equipment such as computers phones photocopiers filing cabinets and fax machines.

Physical Demands:

  • The position is a largely sedentary role; however some duties require the ability to lift up to 20 pounds and bending & standing for periods at a time.
