The Assistant Manager Student Administration (TAISP) plays a critical role in ensuring the smooth administration and operational excellence of this premier scholarship programme providing comprehensive support to TAISP scholars throughout their academic journey.
Job Responsibilities
Student Administration & Academic Support
Manage and respond to TAISP students enquiries on academic administrative and programme-related matters in a timely and professional manner
Oversee course registration processes for TAISP scholars ensuring compliance with programme requirements and university and college policies
Process and manage Leave of Absence (LOA) applications and waiver requests according to university and college guidelines and scholarship terms
Coordinate campus housing matters for TAISP scholars liaising with Campus Housing Office to ensure appropriate accommodation arrangements
Maintain accurate student records and documentation in university systems and for teams internal record-keeping
Provide advisory support to scholars on academic progression programme requirements and graduation matters
Serve as the primary point of contact for TAISP scholars on day-to-day administrative matters in person via email and over the phone including handling walk-ins and counter enquiries
Research Programme Coordination
Administer and coordinate Undergraduate Research Experience on Campus (URECA) projects for TAISP scholars including application processes mentor matching and project tracking
Oversee Final Year Project (FYP) administration for TAISP scholars ensuring timely completion and compliance with assessment requirements
Support ad-hoc research initiatives and opportunities for TAISP scholars including research attachments and collaborations with faculty
Liaise with faculty supervisors research labs and academic departments to facilitate research placements and opportunities
Monitor research progress and maintain records of scholars research activities and outputs
Coordinate research-related events presentations and showcases for TAISP scholars
Process research-related claims funding requests and administrative documentation
Publicity Outreach & Student Engagement
Support publicity efforts for the TAISP programme through various communication channels
Assist in organizing outreach events open houses and recruitment activities
Coordinate student engagement activities and community-building initiatives for current TAISP scholars
Manage programme website content and social media presence
Develop and maintain promotional materials brochures and information packages
Organize scholar sharing sessions networking events and alumni engagement activities
Support planning and execution of TAISP signature events and milestone celebrations
Coordinate with the Colleges Outreach and Publicity Team on publicity campaigns
Collect and document student testimonials success stories and programme highlights
Collaborate with team members and stakeholders such as the editorial board to ensure high accuracy of content on site
Global Exposure & Overseas Programmes
Coordinate and administer overseas study programmes for TAISP scholars including semester overseas studies at partner universities
Manage internship placements and arrangements for TAISP scholars both locally and internationally
Plan and execute experiential learning trips and immersion programmes for TAISP cohorts
Liaise with partner universities host organizations and external stakeholders for overseas programmes
Process applications travel arrangements and documentation for overseas programmes
Conduct pre-departure briefings and provide guidance on overseas study/internship requirements
Monitor scholars progress during overseas programmes and serve as point of contact for any issues
Handle communication between NTU partner institutions host organizations and students
Ensure compliance with university policies safety and insurance requirements for overseas programmes
Process travel grants reimbursements and other financial matters related to global exposure activities
Maintain records and documentation of all overseas programme activities
Programme Operations and Administrative Excellence
Support the timely execution of key programme processes in compliance with university policies and standards including admission and scholarship administration
Support the administration of TAISP Masterclasses including coordination with external professors industry partners and guest speakers
Logistical support for course delivery
Part of the team to facilitate administration of assessments and examinations
Prepare and analyse relevant data and generate reports to support decision making
Liaise with various university departments including Student Academic Office Scholarship Office Campus Housing and other relevant offices
Tracking of programme-related expenses and student allowances
Stay informed of university policies and guidelines relevant to student administration and scholarship programmes
Streamline internal processes to enhance efficiency and ensure alignment with university policies
Ensure compliance with university policies scholarship terms and conditions and college guidelines
Perform other ad-hoc duties as assigned
Job Requirements
Min. a Degree with 4-5 years of relevant experience preferably in an educational institution or student services environment
Understanding of university academic structures student administration processes and scholarship management would be advantageous
Knowledge of research coordination and project management principles would be beneficial
Excellent interpersonal and communication skills with strong customer service orientation
Highly organized with meticulous attention to detail
Independent proactive and able to work effectively in a team
Strong problem-solving abilities and sound judgment
Proficient in Microsoft Office (Word Excel Outlook PowerPoint)
Patient tactful and able to demonstrate empathy when working with students
Adaptable and responsive to changing priorities
Able to handle confidential information appropriately
