POSITION SUMMARY

The Advancement Coordinator supports the overall operations of the Advancement team. The Coordinator provides smooth administration in support of comprehensive year-round fundraising strategies for the Annual Fund Scholarships and Fellows. Additionally this position is responsible for operational and administrative support throughout the Advancement department which includes event support for activities such as Alumni Weekend Leadership Awards donor recognition and other departmental initiatives.

ESSENTIAL RESPONSIBILITIES

  • Manages the progress toward achieving fundraising goals and revenue lines for all annual giving initiatives including reporting progress and outcomes to the Advancement team.
  • Prepares reports as directed by the Senior Advancement Officers and the team members. Uses data analysis and prospecting best practices to build and refine the annual giving pipeline.
  • Identifies and qualifies prospective donors using best practices for matching donor interest with institutional priorities with a particular focus on annual operating support.
  • Develops implements and tracks all direct mail solicitations for alumni parents corporations organizations and friends.
  • Produces annual giving communications including writing editing and production oversight for direct mail email phone social media fundraising and giving days. Assists with donor communications cultivation efforts and stewardship activities across Advancement initiatives.
  • Provides administrative support for the Society of Fellows including preparing and sending renewal letters welcome packets and updating the website and roster.
  • Assists with program support donor cultivation and engagement of Fellows to strengthen their involvement with the CIA.
  • Supports the Advancement Officer for Individual Giving with donor cultivation stewardship administration.
  • Collaborates with CIA Consulting Food Enthusiast Programs Restaurant Operations and Admissions to identify and qualify prospective donors from food enthusiasts patrons and current parents for potential Fellows.
  • Attends assists and supports a variety of events throughout the year including Alumni Weekend Leadership Awards regional events donor recognition celebrations and other Advancement programming.
  • Supports overall operations of the Advancement and Alumni Affairs Office including learning the monthly closing procedure.
  • Works closely with the Manager Donor Relations to support the administration of the Advancement CRM system.
  • Provides general administrative support across Advancement initiatives as needed.
  • Serves as Advancement backup for gift processing invoicing/accounts payable and tracks all outstanding agreements.
  • Collaborates with Advancement team members in the development of solicitation materials and supports their unique gift processing reporting and database management adjusts and approves all sponsorship materials to ensure accordance with CASE and CIA Gift Acceptance standards.
  • Any and all other duties as assigned.

REQUIRED QUALIFCATIONS

Education:

  • Associates degree from an accredited college or university with a focus in fundraising communications business finance or a related field or significant experience in lieu of.

Experience:

  • One to two (1-2) years of experience in fundraising sales business development higher education or a related field.

PREFERRED QUALIFCATIONS

  • Experience in higher education or the foodservice/hospitality industry.
  • Nonprofit fundraising experience particularly with individual giving or corporate relations.
  • Prior annual fund alumni relations sales or marketing experience in a university or similar institutional setting.

REQUIRED SKILLS

  • Strong analytical problem-solving and conceptual abilities.
  • Excellent written verbal and presentation skills with demonstrated strength in organization time management and interpersonal communication.
  • Ability to work independently as well as collaboratively across teams.
  • High level of energy initiative and self-motivation.
  • Proficiency with fundraising databases MS Office Suite and Microsoft Teams.
  • Adaptability dependability and the ability to manage multiple priorities effectively.
  • Sound judgment with the ability to handle sensitive information with confidentiality and discretion.

WORKING CONDITIONS

  • Must be able to work overtime on nights and weekends as required by business needs.
  • Regular work requires a great deal of sitting and standing for extended periods.
  • Regular work requires the use of a computer sometimes in excess of eight (8) hours per day.
  • Dexterity of hands and fingers to operate a computer keyboard mouse and to handle other computer components.
  • Ability to lift and carry up to twenty-five (25) pounds.
