Job Summary

Position: Personnel Clerk/Administrative Assistant to Assistant Superintendent of Personnel and

Student Services

Required Qualifications:

High school diploma or high school equivalency. Five (5) years of office experience preferably in a school office. Advanced training related to office management and computers. Knowledge of personnel procedures.

Primary Purpose:

To ensure the ethical treatment of employees in compliance with local state and federal laws rules and regulations; negotiated contracts and board policy and to solve employee issues including but not limited to workers compensation. Assist Assistant Superintendent with state and federal timelines and regulations.

Essential Functions and Responsibilities:

  • Comply with School Board Policy.

  • Receive and Distribute new employee applications and internal applications as they are received.

  • New hire/termination processing including but not limited to posting positions and accurate Board Exhibit As related to hiring transfers retirements and resignations.

  • Onboard New Employees including but not limited to collect required documents notify HR group initiate and ensure background checks are completed.

  • Ensure that all required documents and processes are completed before a new employees first day of work.

  • Record new employee information along with transfers and resignations in order to maintain accurate records in School Personnel Reports (SPR) and Sylogist.

  • Maintain accurate employee records and files.

  • Assists employees with benefit questions and issues.

  • Coordinate with the Payroll department regarding but not limited to payroll changes position transfers creating and distributing employee contracts.

  • Assists in various types of employee training including but not limited to receiving and entering professional development points.

  • Discusses human resource problems with appropriate CPS staff.

  • Participates in the formulation of personnel policies.

  • Assists in the preparation of reports and statistical information as required by the District and State Department of Education.

  • Work with site attendance secretaries to verify attendance hours worked onto designated records such as Red Rover and Sylogist.

  • Work with Edustaff to verify absences and sub fills on Edustaff invoices.

  • Compile statistical reports statements and summaries related to personnel and submit them to appropriate departments.

  • Manage paperwork and reports related to Workers Compensation.

  • Provide and maintain proper items for annual audit.

  • Respects the privacy of confidential matters relative to students patrons and personnel.

  • Cheerfully greet all visitors making them feel welcome; providing assistance or directing them to the appropriate person for information.

  • Type or prepare correspondences as designated by the Assistant Superintendent.

  • Answer and place calls for the Assistant Superintendent and take messages in his/her absence.

  • Assistant the Assistant Superintendent with preparation of meetings file materials copy materials as directed.

  • Use good judgment at all times.

Physical Requirements:

  • Ability to reach above shoulder level.

  • Some climb on short ladders.

  • Ability to tolerate a stressful environment.

  • Ability to lift objects weighing 10 lbs or more.

Coordinates With: Administrative Team Central Office Staff Site Principals and Supervisors.
