LEGAL SECRETARY (LITIGATION)

Millpark Port Elizabeth

My client is seeking a vibrant energetic & tech-savvy Legal Litigation Secretary to join their incumbent must be well presentable professional and client-centric to ensure smooth daily operations in a highly paced law firm.

MINIMUM ESSENTIAL QUALIFICATIONS:

  • Matric
  • Tertiary Qualification (Advantageous)
  • Previous Litigation experience (Advantageous)
  • Must have excellent communication skills in English & proficient in Afrikaans (Essential)
  • Must possess a strong sense of confidentiality;excellent time management skills coupled with a sense of urgency
  • Must possess exceptional administration and typing skills in this admin intensive role
  • Must be flexible in fulfilling duties assigned with excellent organisational and problem solving skills
  • Possess a can do attitude with fine attention to detail demonstrating a high level of professionalism
  • Computer proficiency: MS Office Packages (Office 365 Outlook Word & Excel) & MS Teams
  • Duties include: Front Office duties client liaison diary management file management preparation of legal documentation and streamline office processes
  • Own reliable vehicle & valid Drivers Licence (no endorsements)
  • Available to start immediately (Advantageous)

DUTIES & RESPONSIBILITIES:

KEY RESPONSIBITLIES / KPIS:

  • Calendar Management: Manage calendars for attorneys scheduling appointments meetings and court appearances.
  • Document Preparation:Prepare and edit legal documents such as contracts pleadings and correspondence.
  • Communication: Handle phone calls emails and correspondence with clients attorneys and other stakeholders.
  • File Management: Maintain organized files both physical and digital ensuring easy access to documents.

Administrative Tasks:

  • Scheduling: Coordinate travel arrangements court appearances and other logistics.
  • Expense Tracking: Manage and track expenses ensuring timely billing and reimbursement.
  • Client Communication: Communicate with clients keeping them informed about case progress.
  • Office Management: Maintain office supplies equipment and software.

Technical Skills:

  • Microsoft Office: Proficient in Microsoft Office particularly Word Excel and Outlook.
  • Legal Software: Familiarity with legal software such as document management systems and time tracking software.
  • Document Management: Ability to manage and maintain complex document systems.

Soft Skills:

  • Organizational Skills: Ability to prioritize tasks manage multiple projects and meet deadlines.
  • Communication Skills: Excellent written and verbal communication skills.
  • Discretion and Confidentiality: Ability to maintain confidentiality and handle sensitive information.
  • Problem-Solving: Ability to think critically and solve problems efficiently.

Additional Responsibilities:

  • Case Management: Assist attorneys in managing cases including tracking deadlines and court appearances.
  • Billing and Invoicing: Assist with billing and invoicing clients.
  • Office Procedures: Develop and implement office procedures to improve efficiency.
