Job Description

A national innovator and leader in clinical legal education the clinical program at the Sturm College of Law referred to as the Student Law Office supports clinics in the fields of advancing social change civil litigation civil rights community economic development criminal law environmental law and immigration law and policy. The law schools clinical programs provide opportunities for law students to be trained to become highly competent and ethical lawyers through faculty supervision and real-life client representation.

Position Summary

The Administrative Assistant III supports the Clinical Director and Clinical Program Manager in the day-to-day operations of the Student Law Office (SLO)/Clinical Programs including invoicing purchasing and expense reconciliation; client and case/matter support; and general administrative support to ensure smooth operations of the SLO and compliance with both academic and legal practice standards.

Essential Functions

Invoicing Purchasing and Expense Reconciliation

  • Responsible for preparing all invoices and expense reimbursements for payment utilizing Banner and Concur
  • Interacts with Purchasing Accounting and vendors as needed to complete the payment process
  • Responsible for clinic purchasing card purchases and retaining receipts
  • Assists with the credit card statement reconciliation

Clients and Case/Matter Support

  • Works with members of the public seeking legal assistance including conducting clinic intake interviews over the telephone or in person in the office
  • Responsible for adding and removing faculty and students from client management systems programs and drives
  • Prepares physical and electronic client files and maintains accurate case assignments and case logs
  • Opens and closes cases/matters for each clinic
  • Runs conflict checks
  • Assists Clinical Program Manager with record retention and file destruction per Student Law Office policy and legal requirements
  • Manages legal mail and other sensitive correspondence

Administrative Support

  • Greets visitors and clients answers incoming calls and emails manages client intake forms and provides referrals.
  • Assists in all facets of student recruitment and orientation planning including processing applications scheduling interviews conducting tours room reservations food orders A/V requests parking passes
  • Assists with client-related travel and faculty conference travel arrangements
  • Assists with room assignments book orders data-entry equipment needs mail coordinating courier runs scheduling interpreters and service processors parking passes copying faxing scanning notarizing documents food orders supply ordering inventory and stocking
  • Communicates with various departments and individuals including Ed Tech Registrars Office Library Bookstore Purchasing and others to meet the needs of the SLO faculty staff and students
  • Maintains and updates the clinic forms and ensures forms are available to students and faculty
  • Other duties as assigned to assist the Student Law Office

  • Proficiency with relevant technologies including Microsoft Office suite (e.g. Word Excel Teams PowerPoint); ability to gain proficiency in case management systems and other systems such as Qualtrics Banner Canvas Practice Master MyCase Clio Lexis-Nexis
  • Strong attention to detail
  • A sensitive and nonjudgmental approach to people seeking legal assistance who may be experiencing mental or emotional distress
  • Excellent oral and written communication skills

Required Qualifications

  • Bachelors degree (BA) from a four-year college or university or equivalent training and experience
  • One to two years of experience in a legal non-profit public interest community service or higher education office environment providing administrative or coordination support
  • Ability to read speak and write fluently in both English and Spanish

Preferred Qualifications

  • Knowledge of CLIO Qualtrics Banner Canvas Practice Master MyCase Lexis-Nexis

Working Environment

  • Standard office environment
  • Noise level is quiet to moderate
  • Eligible for hybrid work

Physical Activities

  • Ability to work in front of a computer for an extended period
  • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule
Monday - Friday 8:30 a.m. - 5:00 p.m. In accordance with the Universitys flexible work policy this position is eligible to be considered for partial remote work. Further details regarding this plan will be determined with the hiring manager and are dependent on the division and team specific needs.

Salary Grade Number:
The salary grade for the position is 7.

Hourly Range:
The hourly range for the position is $24.00-$27.00.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate departmental budget availability internal salary equity considerations and available market information but not based on a candidates sex or any other protected status.
