Job Description

The Quotes and Contracts Administrator monitors and acts on all steps of the quoting process from quote creation through to order commitment. They are the liaison between the customer and company staff during the quoting process. Their primary function is to facilitate communication data collection data entry and quote processing to enable all personnel involved in the pre-awards process including management technical estimators other administrators and customers.

Responsibilities:

  • Create and manage quotes within Cetec ERP system.
  • Monitor order/quote workflows daily and take applicable timely actions.
  • Review customer POs/contracts for accuracy to the applicable quote.
  • Talk with customers and suppliers regarding quotes and opportunities.
  • Request and organize technical data for each opportunity.
  • Monitor quote expiration dates and contact customers for extensions.
  • Monitor quote PNs and contact customers for possible opportunity mergers.
  • Monitor quote cancellations losses and document loss data into Cetec ERP.
  • Read and respond to emails in a timely manner.
  • Act as intermediary between buyers and management in price negotiations and between buyers and estimators for technical data requests.
  • Monitor & review the Defense Internet Bid Board System (DIBBS) System for Award Management (SAM) Exostar and Parts Base Government Data for opportunities that fall within HCOAs capabilities.
  • Submit quotes to the customer via the applicable system.
  • Review contract clauses for applicable information.
  • Collect quote data populate metrics templates compile and distribute metric reports.
  • Create Bills of Material (BOMs) in Cetec ERP system.
  • Interrogate Cetec ERP system for historical cost data.
  • Determine appropriate cost and resale price estimate for various products.
  • Solicit and manage raw material part & process quotes from third party suppliers.
  • Data entry into Cetec ERP system.

Qualifications:

  • Associates degree (A.A.) or higher
  • 2 years experience as a Contracts Administrator (or similar)
  • Enterprise Resource Planning (ERP) system experience
  • Intermediate or better experience using Microsoft Office Suite (Word Excel PowerPoint Visio Outlook)
  • Must meet ITAR requirements (must be a US citizen or hold a green card)

Preferred

  • Familiarity with AS9100 Aerospace Quality Standard.
  • Familiarity with Federal supply contracts.
  • Familiarity with DIBBS & SAM.
  • Experience with Microsoft VBA Python or similar programing language.
  • Understanding of manufacturing processes such as sheet metal forming heat treat composite layup tool design machining electroplating and paint application.
  • Ability to read and interpret technical data and engineering drawings.

Physical Demands / ADA Compliance

While performing the duties of this job the employee is constantly required to sit and use hands to operate telephone type and operate computer and mouse. The employee is frequently required to talk hear and bend and twist neck. The employee may occasionally lift and/or move up to 10 pounds and rarely lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and distance vision.


Background and Drug test required

Job is onsite Monday-Friday 7am-3:30pm

Salary: $68-73k dependent upon experience
