Job Description

Preparation and Timely submission of costing sheets & purchase authorization in M files. Maintain all records (Hard & Soft copy) and various trackers (Pipeline Master tracker Proposals submitted PO tracker invoice trackers aging tracker PPM registers CM registers).

Daily reporting to the Line Manager

Attending Helpdesk calls whenever required. Coordination & scheduling with Subcontractors and Supervisors for daily tasks.

Attending help desk calls generation of service requests . Dispatching work request to different verticals of FM. Should be flexible working in shifts as and when required during emergency situations.

Follow up of submitted RFQs status with HO Procurement on regular basis with proper tracker maintenance and updating line manager on daily basis.

Should coordinate with RDT for TVR related jobs.

Preparation of work completion certificates and operational tracker for all TVR and CJ.

Management of Petty cash documentation and tracking of all Financial expenses / receipts and conciliation with HO finance.


PPM & CM scheduling. Follow up with subcontractors and HMAF team for daily monthly/Quarterly Service reports.

Coordination with Supervisor & Engineer for preparation of Request for Quotation (RFQ) and timely submission to procurement.


Preparation of Invoice and supporting documents for submission to client. Submission of subcontractor invoices to HMAF finance department after review and signatures.


Collection: follow up/reminders and arrangement for collection.

Well versed with CAFM system.


Preparation submission and follow up of permit to work in various retail outlets. (Mall permit MOI permits). Maintain customer relationship through proper communication.

Manhour posting (includes collecting timesheets from supervisor and coordinating with Supervisors for final submission). Keeping daily logs and records of all maintenance functions.

Site visit for new/existing jobs if required and preparation of proposals for submitting to client.

Requirements

Geographical Experience: 5 Years Middle East experience in similar role.

Industry Experience:

5-8 years out of which 5years experience in the Middle East.

People Skills:

  • Good English Communication skills

Problem-Solving and conflict-resolution skills and their needs.

Academic Degree(s):

Degree in any discipline. FM related certificates will be added advantage

Qatar Driving license is an added advantage
