Job Description

POSITION: Federal Programs Specialist

LOCATION: District Wide As Assigned

REPORTS TO: Director of Federal Programs

FLSA Status: Hourly

Classification: 10 Month

Supervises: N/A

Term: 206 workdays

Compensation Range: $23.84 -DOE

Site: District Wide

JOB GOAL:

  • To assist the Director in facilitating grant funded programs maintain reliable grant data and accurate financial accounting.

QUALIFICATIONS:

Qualifications to perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge skills and/or abilities required to be successful:

  • High School Diploma or GED
  • Valid Arizona Drivers License
  • Two years clerical office or related experience
  • Experience with various Office software such as Word and Excel
  • Ability to learn software applications quickly and efficiently
  • Effective organizational skills
  • Proficiency in record keeping and attention to detail
  • Ability to work with staff teachers students and parents at various educational levels
  • Ability to travel between school sites within the district
  • Proficient communicator with excellent interpersonal skills in dealing with all levels of district staff and with a diverse community
  • Ability to work independently

  • Physical Demands - While performing the duties of this job the employee is regularly required to stand; walk for extended periods of time during scheduled events. The employee may be required to set up tables walk during various indoor and outdoor field trips and assist in carrying boxes to scheduled events. The employee must occasionally lift and/or move up to 25 pounds.
  • Safety and Security - Observes safety and security procedures; determines appropriate action beyond guidelines adheres to OSHA regulations and guidelines; Reports potentially unsafe conditions; uses equipment and materials properly.
  • Attendance/Punctuality - Is consistently at work and on time; Ensures work responsibilities are covered when absent; arrives at meetings and appointments on time.
  • Dependability - Follows instructions responds to management direction; takes responsibility for own actions; keeps commitments; commits to long hours of work when necessary to reach goals; completes tasks on time or notifies appropriate personnel with an alternate plan.

RESPONSIBILITIES:

Responsibilities include but are not limited to:

  • Work closely with and maintain open communication with the Director of Federal Programs to provide reliable and accurate data and files for Federal State and Local laws and regulations.
  • Compose emails correspondence agendas
  • Prepare and distribute information to sites for all Federal and State Programs.
  • Track time and effort forms as well as time slips from employees paid through Federal and State funds.
  • Attend field trips with Native American Students
  • Accurate student data for various accountability reporting in student information system.
  • Assist with purchases of Federal and State funds.
  • Perform general clerical duties as requested.
  • Exhibits patience courtesy and tact when dealing with others the community

TERMS OF EMPLOYMENT:

  • Hourly 10-month contract/work agreement. Placement on Classified salary schedule by the Director of Human Resources dependent upon education and experience
  • Benefits All approved benefits for Classified Employees
  • Must pass Department of Public Safety Fingerprint clearance check.
  • Must be United States citizen or have valid work visa at date of hire with the ability to maintain. All changes in visa status must be reported to Human Resources immediately. Photo identification and work visa (if necessary) will be needed for fingerprint clearance card and I-9 documentation prior to the first day of work.

EVALUATION:

  • Performance of this position will be evaluated in accordance with the provisions of the Boards policy on the Evaluation of Classified Personnel.

REQUIRED DOCUMENTATION:

  • Proof of Mumps Measles and Rubella (MMR) vaccination.
  • Valid government issued identification or current work visa with expiration date.
  • Unofficial copies of transcripts will be accepted with applications official transcripts will be due upon job offer*

* Transcripts issued in a language other than English must be accompanied by a full translation (word for word) by an acceptable translator. Additionally each foreign transcript must be evaluated for equivalency to United States accredited coursework by an acceptable agency such as those agencies certified by the National Association of Credential Evaluation Services (NACES). Applications containing foreign transcripts that are not accompanied with the above required documentation will not be considered.
