Job Description

The Customer Service Front Office Junior Specialist learns efficient order management and timely delivery of products or services to customers. Gains experience in supervising the process from placing an order to its implementation. As part of the acquisition of knowledge you learn to be an important liaison between customers internal departments and external partners to ensure customer satisfaction and operational efficiency. Responds to customer inquiries via telephone or email to provide problem resolution in accordance with the Organizations service standards. The Customer Service Front Office Junior Specialist as gains knowledge will perform many of the same duties as the experienced level but will have more direct supervision and oversight.

The Entry level will typically only receive and/or place telephone calls that are basic and routine as they gain experience with the companys products and services. Solves simple customer problems and analyses customer service needs for communication to service and technical departments. The Customer Service Front Office Junior Specialist follows the instructions absorbs the knowledge and demonstrates initiative in learning new processes. Gains practical knowledge in navigating process documentation.

processing: Learn how to receive and process customer orders accurately and efficiently ensuring all necessary details are captured and documented. Entering the data under supervision and work towards independence.

Communication: Provide timely updates to customers regarding the status of their orders including tracking information delays or any issues that may arise ensuring transparency and proactive resolution of concerns.

Resolution: Learn from others how to address any order-related issues or discrepancies promptly investigating root causes and implementing corrective actions to prevent recurrence.

and Recordkeeping: Gain knowledge of how to maintain comprehensive records of orders shipments and customer interactions and how to generate reports as necessary to track performance metrics and identify areas for improvement.

Processing: Learn to coordinate with logistics partners to schedule shipments arrange for pickups and track deliveries to ensure orders reach customers within specified timeframes. Try to be proactive identifying shortages or discrepancies and coordinating with inventory teams to replenish stock as needed.

Improvement: Gain a basic understanding of how to evaluate order management processes and systems on how to identify opportunities for streamlining operations improving efficiency and enhancing the overall customer experience.

-functional Collaboration: Learn about the functioning of other departments such as sales marketing operations finance and IT to collaborate effectively.

and Billing Support: Assist in generating invoices statements and billing documents based on customer orders and terms and support in following up on outstanding payments or discrepancies as needed.

Check Assistance: Support in conducting quality checks on orders documents and data entries to identify errors or discrepancies and assist in taking corrective actions to resolve issues.

and Development: Explore our self-improvement platforms and take training courses to enhance the skills knowledge and performance of front office staff fostering a culture of continuous learning and improvement.

process: Take an active part in process transitions under supervision. Take an active part in creating process documentation.
