Position Summary:
Coordinates permit process and provides customer service to the public developers contractors architects engineers and others in person at the counter over the telephone and via the Internet.
Essential Duties:
- Assists customers in a professional and friendly manner in processing development permit applications.
- Receives logs and routes plans and reports.
- Researches and identifies the completion of various parts of the permit application package.
- Provides general planning zoning and building permit processing information as well as projected time frames of plan review for internal and external customers; tracks plan review process; and monitors status of plan reviews.
- Retrieves phone messages; serves as a primary contact within the Department for telephone online and inperson requests from builders contractors architects engineers and the general public; retrieves data from computer or hard copy files; answers and documents questions; and provides clerical support.
- Crosstrains with other areas involved in private development plan review permitting and inspections.
- Utilizes established Department software; enters permit information at time of application and/or assists customers at public permitting kiosks to complete online permit applications; verifies completeness of permit applications and uploaded files; manages uploaded files to ensure appropriate system formatting; and compiles permit fee information; and issues development permits.
- Processes Certificate(s) of Occupancy Certification(s) of Completion and temporary certificates.
- Files maintains and identifies status for final records retention for applications construction drawings specifications and related documents received in conventional or electronic formats as a part of the permitting process.
- Supports other staff members and as a team player assists other personnel as needed.
- Maintains accurate records; supports the records management objectives of the Department.
- Conducts research to fulfill requests for public records from both internal and external clients.
- Responds to public and staff requests for information and research.
- Opens/unlocks City Hall; prepares for start of business day.
- Assists others with some fire related duties.
- Performs other duties as assigned.
Qualifications:
Education and/or Experience:
High school diploma or equivalent; one 1 year of recent public contact and/or telephone administrative and clerical experience; or any combination of training certifications or qualifying experience that provides the ability to successfully fulfill the essential knowledge skills and abilities to perform the essential functions of the position.
Licensing Certification and Other Requirements:
Possess an International Code Council Permit Technician certification or obtain one within one 1 year from hire date.
