Director of Operations

Department: Facilities Planning & Management

Unit: Professional Administrative Exempt

Wage: Compensation range listed is based on an average 115 years of experience as determine by Human Resources

Grade 111 Specific salary based on experience

JOB SUMMARY

This position is responsible for the daytoday operations of the custodian and supply operations division of the Facilities and Operations Department. The general function of this position is to manage develop and supervise all custodial and warehouse staff and assure that they are maintaining the cleanliness of the 43 facilities in the Grand Rapids Public Schools District. This also includes snow removal from walkways sidewalks etc. in the winter. The custodial staff is normally on duty Monday Friday from 6:00 am. through 11:30 pm. with exceptions for after hours weekend and holiday activities at the district facilities. The Director of Operations is expected to develop a flexible work schedule that would facilitate the supervision and inspection of work performed by the second shift teams as well as the day shift staff.

ESSENTIAL JOB FUNCTIONS

  • Provides leadership to and supervision of all operations staff (including custodians operation specialist Supply truck drivers mail carriers warehouse supply specialist and operations supervisors). Responsible for developing and maintaining a collaborative team environment ongoing performance management training mentoring hiring and individual development planning for staff in a union environment.
  • Manages and ensures compliance with union contracts District procedures and policies and regulations.
  • Work with supervisors to establish and implement work performance standards and measures for all employees to ensure services delivery and customer service meet customers expectations.
  • Communicate and maintain regular contact with customers and customers representatives (facetoface and virtual) to ensure optimal communication of activities alignment of priorities determine service /support requirements and service delivery strategies responsive to the needs.
  • Provides recommendations scopes of service proposals and cost estimates to customers as needed.
  • Oversee routine inspections of scheduled work assignments across all supervisory areas to ensure effective performance of all cleaning and related support services.
  • Assign custodial and operational projects to supervisors and provide necessary training instructions and supports to ensure further supervisors leadership development and timely efficient
  • Perform periodic surveys of all facilities and develop annual and longrange programs
  • Identify prioritize and plan routine building cleaning projects to include a comprehensive summer cleaning program
  • Research and evaluate suppliers products procedures methods materials and equipment
  • Keep a comprehensive inventory of equipment and supplies to include working with zone supervisors to ensure inventory is distributed to school sites
  • Review and investigate incoming unsatisfactory cleaning complaint and work with appropriate supervisor for resolution
  • Respond to emergency situations to ensure the facilities are available as scheduled for use by students staff and public
  • Coordinate work with supervisors building administrators and other affected staff
  • Evaluate staff according to District guidelines maintain appropriate personnel records and make recommendation regarding promotions demotions and transfers
  • Participate in employee misconduct investigations as appropriate and work with human resources to implement employee discipline
  • Review and process time records leave requests and other required Promote a good working relationship with other District employees and the public
  • Develop and implement a comprehensive training program to address best practices in the school cleaning industry
  • Interact with coworkers administration students parents and the community in positive supportive and cooperative ways
  • Assists in the budget process for the Facilities and Operations Department and provide input in reference to the operations division budget.
  • Assists with the facilities use process including scheduling calendars and scheduling custodians to be present during facilities uses and any necessary set up and clean up
  • Assures that buildings have custodial staff to open/close cleanup etc. for before and after school activities including outside groups sporting events plays concerts testing and/or any other extracurricular activities community events and other events including emergencies as needed
  • Perform other duties as assigned

QUALIFICATIONS

Education and Experience:

  • Associates degree with a minimum of five 5 years operations leadership work experience

Preferred Qualifications:

  • Bachelors degree in a facilities management discipline or similar field
  • Experience working in a union environment
  • Experience with education buildings and knowledge of current K12 operations
  • Knowledge of operational planning for multiple building entity

Knowledge Skills and Abilities:

  • Demonstrated leadership and/or supervisory experience with previous supervisory responsibility for technical and professional staff
  • Demonstrated staff development and staff coaching abilities
  • Demonstrated ability and desire to effectively communicate both orally and written with diverse stakeholders and always present a professional presence
  • Demonstrated organizational skills with the ability to perform multiple tasks simultaneously autonomously and meet challenging timelines and quality standards
  • Demonstrated ability to foster teamwork and participate as a team member with other directors / administrators custodial supervisors and building base custodial staff.

PHYSICAL DEMANDS

The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision distance vision and ability to adjust/focus.

WORK ENVIRONMENT

The noise level in the work environment is usually moderate.
