Join our team as Operations Manager at Courtlands Estate Richmond! Courtlands a prestigious residential estate in Richmond Surrey is seeking an experienced and proactive Operations Manager to lead our dedicated team and ensure the smooth functioning of our community.
About Courtlands:
Courtlands boasts 238 unique properties and is privately owned with a Board of Directors elected by leaseholders overseeing its governance. As the Operations Manager you will be the driving force behind the daytoday operations reporting directly to the Board of Directors. You will be supported by the Assistant to the Operations Manager.
Key Responsibilities:
As the pivotal force behind Courtlands the Operations Manager is responsible for cultivating transparent communication with leaseholders ensuring meticulous estate maintenance managing and overseeing significant projects and fostering a harmonious team environment. This role is central to the living experience at Courtlands some of your important responsibilities will include.
- Engaging with leaseholders and fostering effective communication ensuring transparency and responsiveness.
- Overseeing the upkeep of the estate from general appearances to communal heating systems ensuring high standards and compliance with regulations.
- Ensuring compliance with health safety and environmental regulations including risk assessments and fire safety management.
- Leading the process of awarding and managing maintenance and service contracts demonstrating strong negotiation skills.
- Project management and taking charge of major projects from lift refurbishments to annual redecoration overseeing tenders negotiations and leaseholder consultations.
- Ensuring adherence to lease terms and conditions.
- Overseeing staff to maintain satisfactory service levels addressing resident matters promptly and effectively.
- Effectively oversee the rental property portfolio collaborating with stakeholders on tenancy changes inspections rent reviews and deposit management.
- Having oversight of estate security including CCTV systems building entry security and oversee IT and communication systems.
- Handling insurance claims incidents coordinating repairs and ensuring satisfactory outcomes.
- Managing staff and foster positive colleague relationships including professional development and appraisals.
- Safeguarding and managing operational records in compliance with regulations and company policies.
Experience and skills required:
To be effective in the Operations Manager role you will effectively delegate responsibilities set clear goals and monitor results. With strong interpersonal skills coupled with determination and a focus on critical tasks you will foster positive colleague relationships and ensure you navigate challenges with integrity and high ethical standards. You will also require the following skills and experience:
- Relevant experience in estate or facilities management ideally within a similarsized residential or private estate setting.
- Proven leadership skills including the ability to effectively motivate and delegate to team members.
- Analytical and problemsolving abilities and skills to effectively prioritise.
- Proficient computer literacy and numeracy.
- Strong negotiation and contract management skills.
- Experience with human resource management (i.e. appraisal processes training performance management and HR administration tasks)
- Excellent communication skills in written and spoken English.
- Proven project management experience navigating between several urgent and competing projects ensuring objectives are delivered on time and within budget.
- Experience with project management tools would be advantageous.
