Hybrid role in New York (3 days in office) & occasional travel required.
As our Executive Assistant will be responsible for day-to-day administration and coordination working directly with executives within our leadership team. This position will collaborate across R1 leadership teams and will be responsible for scheduling activities and creating calendar events. The Executive Assistant will document detailed agendas meeting minutes and action items from key leadership addition the assistant will make travel arrangements and support ad hoc requests. This may include submitting expenses documenting meeting notes and supporting logistics for corporate meetings. Additionally the Executive Assistant will oversee and assist with liaison and communication between the Executive and internal and external office engagements.
Heres what you will experience working as an Executive Assistant:
- Partner with colleagues and providers to coordinate meetings
- Scheduling activities and creating calendar events.
- Coordinate travel arrangements and support ad hoc requests. This may include submitting expenses documenting meeting notes and supporting logistics for corporate meetings.
- Oversee and assist with liaison and communication between the Executive and internal and external office engagements.
- Provide day-to-day administrative support for executives.
- Manage plan and organize daily calendar activities.
- Book and manage all travel arrangements.
- Manage day-to-day correspondences internally and externally including responding to all local and international mail.
- Assist in technical matters and courier correspondence.
- Arrange for meetings and conferences including preparing agendas and minutes and making the necessary business travel arrangements.
- Manage membership dues to various organizations subscriptions distributions and circulation lists.
- Prepare update and distribute itineraries letters memos and meeting minutes and continually keep for a record for future events and meetings.
- Serve as liaison with department managers to ensure a manageable flow of work and communication.
- Prepare a variety of high-quality memos letters and other required documents.
Required Skills:
- Bachelors Degree or a comparable combination of education and experience.
- Minimum of three years of administrative experience.
- Excellent decision-making communication and collaboration skills with proven cross-functional and multi-level relationship building skills.
- Must have excellent planning time management and organizational skills.
- Excellent verbal and written business communication skills.
- Ability to succeed in an ever-changing and fast-paced environment.
- Ability to effectively manage multiple competing priorities under a given timeline.
- Ability to show considerable discretion regarding sensitive and/or confidential information.
- Strong proficiency in MS Outlook Word Excel and PowerPoint.
- Self-motivated and proactive individual with the ability to drive tasks through to successful completion.
