No to Violence is Australias peak body for individuals and organisations that work with men that use violence. We provide training sector development and advocacy across the sector. We operate the Mens Referral Service providing a counselling service and referral pathways directly to men who use violence. As a pro-feminist organisation women and children are at the centre of what we do by ending mens use of family violence families individuals and communities are safer.

About the role

Role Type: Permanent Full Time 1 FTE

Classification: SCHADS Level 3 (plus 2%) plus superannuation

Location: Onsite Melbourne CBD

The Administration Officer is a key member of our Culture Services and Operations division helping keep No to Violence (NTV) running smoothly professionally and on track. Working across the organisation youll provide high-quality administrative executive and office supportcoordinating diaries and meetings keeping systems and records in order and making sure people have what they need to deliver great work.

This is a varied people-facing role suited to someone who is organised proactive and service-minded with a knack for juggling priorities and spotting what needs doing next. Key responsibilities include:

  • Provide high quality executive and team administrative support including reception duties diary management responding to enquiries managing office supplies and coordinating facilities requests
  • Prepare and format briefing packs reports and ensure accuracy confidentiality and strong document control
  • Assisting with onboarding administration including inductions compliance checks and staff setup
  • Coordinating ICT equipment and maintaining asset registers and records and ensuring items are distributed
  • Maintaining accurate filing systems registers compliance trackers and document control processes
  • Supporting meetings training sessions events and internal communications
  • Assisting with reporting project coordination and continuous improvement activities across the organisation
  • Supporting workplace health safety and compliance administration by complete routine office audits and checks (first aid safety and facilities and follow up actions with internal stakeholders and building management. Supporting workplace health safety and compliance administration

About you

Youre a proactive organised and people-focused administrator who enjoys being the go-to person that keeps a busy office running smoothly and loves working on site. Youre confident juggling competing priorities coordinating diaries and meetings and producing polished documents with a sharp eye for detail.

You bring sound judgement and discretion and youre comfortable working with sensitive information in a values-driven environment. Youre service-minded calm under pressure and you take pride in following things throughwhether thats keeping registers and systems up to date supporting onboarding and office coordination or helping deliver great meetings and events.

Most importantly youre collaborative solutions-focused and ready to roll up your sleeves to support teams to do their best work.

You will bring:

  • Experience in administration executive support or office coordination
  • Strong organisational time management and problem-solving skills
  • Excellent written and verbal communication skills
  • A high level of professionalism discretion and attention to detail
  • Confidence using Microsoft 365 including Outlook Word Excel Teams and SharePoint
  • The ability to work independently while also contributing positively within a team
  • A proactive and hands-on approach to supporting others and improving processes

Desirable experience includes working with HR or compliance systems and an understanding of the gendered nature of family violence.
