Job Summary

Position Summary

The Project Accounting Specialist plays an essential role in daily and monthly accounting operations ensuring the accuracy integrity and timeliness of financial information. We are seeking someone who excels in core accounting functions while also enjoying collaborating with operations and supporting this position you will support ongoing construction and maintenance projects by preparing purchase orders reviewing project costs processing invoices and entering timesheet data. The Project Accounting Specialist partners closely with both accounting and operations teams to deliver reliable financial support and contribute to overall operational success.

Key Responsibilities

Data Entry & Project Support

  • Enter and update project data accurately into Spectrum
  • Input detailed information related to project costs pricing and markups
  • Maintain organized and up-to-date records for all active and completed projects

Markup & Pricing Data Management

  • Apply specified markup percentages to project costs and materials
  • Verify accuracy of pricing calculations including labor materials and overhead
  • Update pricing data based on changes in project scope or cost adjustments
  • Ensure markup rules and contract pricing guidelines are consistently followed

Billing & Invoicing Duties

  • Prepare and issue weekly T&M invoices based on purchase orders
  • Verify billing data for accuracy including pricing margins quantities and terms
  • Resolve billing discrepancies and customer inquiries
  • Maintain billing records and ensure proper documentation
  • Monitor accounts receivable and follow up on outstanding invoices

Purchase Order & Cost Analysis

  • Review and analyze purchase orders for accuracy and completeness
  • Track job costs
  • Compare actual costs against estimated costs
  • Identify cost variances and investigate discrepancies

Office Administrative Duties

  • Request badges for new employees
  • Process credit card payments
  • Confirm/process invoices for Purchasing
  • Enter time sheet data for local staff

Qualifications

  • Associates degree in accounting and/or Finance preferred.
  • Strong understanding of core accounting principles.
  • 4 years of progressive accounting experience.
  • Excellent analytical and problemâsolving abilities.
  • Clear communication skills and the ability to collaborate across departments
