Job Description:
We are currently looking for a Virtual Secretary to join our team at Vibes Communications. As a Virtual Secretary you will be responsible for providing administrative support to our organization remotely. You will assist in managing schedules organizing documents handling emails and other administrative tasks to ensure the smooth operation of the business.
Job Responsibilities:
- Manage and maintain executives schedules appointments and travel arrangements
- Organize and maintain documents and files in an organized manner
- Handle incoming and outgoing communications including emails and phone calls
- Assist in preparing reports presentations and other business documents
- Coordinate meetings and conferences including setting up virtual meetings via video conferencing
- Perform general office tasks such as data entry copying and scanning documents
- Provide administrative support to the team as needed
Essential Qualifications:
- High school diploma or equivalent
- Proven experience as a virtual assistant or secretary
- Proficient in Microsoft Office and Google Workspace
- Excellent communication skills both written and verbal
- Strong organizational skills and attention to detail
Desired Experience:
- Minimum of 2 years of experience in a similar role
- Experience working in a remote or virtual setting
- Experience using VoIP solutions or cloud-based communication tools
