Job Summary
The Administrative Assistant is a highly organized and proactive individual who provides comprehensive administrative support to the team and ensures the smooth operation of the office. The ideal candidate will be a professional and adaptable individual with a strong ability to manage multiple tasks maintain confidentiality and communicate effectively with all levels of the organization.
Principal Accountabilities
The following duties are typical for this classification. Incumbents may not perform all the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices. Applicants must be prepared to demonstrate the ability to perform the essential functions of the job with or without reasonable accommodation.
Manage and maintain executive and team calendars including scheduling meetings appointments and travel arrangements.
Prepare and edit correspondence reports presentations and other documents as needed.
Answer and direct phone calls taking messages and providing information to callers in a professional manner.
Organize and maintain filing systems both digital and physical ensuring information is easily accessible.
Serve as the point of contact for internal and external communications including email and written correspondence.
Coordinate office supplies equipment and services including managing inventory and orders.
Assist in planning and executing company events meetings and conferences.
Handle confidential and sensitive information with the utmost discretion.
Perform data entry and manage databases to support various business functions.
Support team members with day-to-day administrative tasks and special projects.
Knowledge Skills & Abilities
Ability to provide courteous and professional assistance to the public and collaborate effectively with colleagues across all departments.
Demonstrated ability to multitask prioritize and manage time efficiently in a fast-paced environment.
A high degree of accuracy is critical for all tasks including data entry and record-keeping.
Proven ability to follow both verbal and written instructions complete tasks independently and work as a productive member of a team.
In-depth understanding of administrative principles and practices including the ability to maintain confidentiality and apply relevant policies and regulations. Must be proficient in basic computer skills including Microsoft Office applications.

Experience & Education
Associates or Bachelors degree in related field preferred
Proven experience as an Administrative Assistant Virtual Assistant or in a similar administrative role.
Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and Google Workspace.
Familiarity with office equipment including printers scanners and multi-line phone systems.
Physical Requirements/Working Environment
PHYSICAL DEMANDS - Most work is performed in a professional office setting and is primarily sedentary. Must possess vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone. Position requires continuous sitting upward and downward flexion of neck; fine finger dexterity and light to moderate finger pressure to manipulate keyboard equipment controls and other office equipment; pinch grasp to manipulate writing utensils. Frequent side-to-side turning of neck walking standing bending and stooping pushing/pulling twisting at waist moderate wrist torque to twist equipment knobs and dials; lifting objects weighing up to 25 lbs. from below waist to above shoulders and transporting distances up to 50 yards. Occasional squatting kneeling reaching above and at shoulder height moderate grasping to manipulate objects lifting objects weighing 20-35 lbs. from below waist to above shoulders and transporting distances up to 50 feet.
WORK ENVIRONMENT - This job operates in a professional office environment. Professional attire required. This position routinely uses office equipment such as computers calculators multi-line telephones photocopiers printers and scanners binding machines hand-held recording devices filing cabinets and fax machines. This position is routinely in contact with the public other Lincoln County and State employees elected officials and members of other entities. Due to the subject matter of the position the employee may be subject to stressful situations.
