JOB OVERVIEW
We are seeking a highly experienced proactive and discreet Senior Executive Assistant to provide comprehensive high-level support to the CEO of a dynamic group of companies. As the right hand to the CEO you will manage complex competing priorities across multiple business entities. This role requires exceptional organizational skills lightning-fast accurate computer/typing skills and the ability to coordinate at the C-suite and management levels across the group.
Key Responsibilities
1. Strategic Scheduling & Calendar Management (Gatekeeping)
Manage a heavily packed complex calendar for the CEO anticipating conflicts and proactively resolving them.
Act as the primary "gatekeeper" prioritizing meeting requests and protecting the CEOs time.
Coordinate multi-company board meetings executive team meetings and strategic off-sites.
2. Communication & Stakeholder Coordination
Act as the main point of contact between the CEO senior management teams across the group board members and external partners.
Draft edit and send high-level correspondence emails and reports on behalf of the CEO.
Record transcribe and distribute minutes for critical meetings with high accuracy.
3. Project Coordination & Execution
Drive special projects and initiatives ensuring they are completed on time and within scope.
Follow up on action items delegated by the CEO to management teams ensuring accountability.
Prepare briefing packs presentations (PowerPoint) and background research for meetings.
4. Administrative & Operational Support
Handle complex international and domestic travel arrangements and itineraries.
Process expense reports invoices and manage corporate credit cards.
Maintain organized digital and physical filing systems.
Requirements
Required Qualifications & Skills
Experience: Minimum 510 years of experience as an Executive Assistant supporting a CEO or C-level executive.
Education: Bachelors degree preferred.
Technical Skills: Advanced proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
Typing Speed: Exceptionally fast and accurate typing skills (60 WPM) for rapid minute-taking and document preparation.
Management Skills: Proven experience managing and coordinating people at the management level.

Discretion & Confidentiality: Absolute integrity in handling highly sensitive confidential business and personal information.
Proactivity & Initiative: Ability to anticipate needs before they arise and act without needing constant direction.
Composure Under Pressure: Calm professional demeanor when handling urgent high-stakes tasks or tight deadlines.
Resourcefulness: Excellent problem-solving abilities to resolve issues independently.
Flexibility: Willingness to work flexible hours as required by the CEOs schedule.
Required Skills:
A Bachelors degree in Human Resource Management Business Administration or a related field. 1-3 years of experience in HR consultancy or a generalist HR officer role. Experience in an international/multicultural environment is an advantage Experience with HR CRM platforms; Exposure to HR projects compliance and HR practice across at least 3 5 key industries is an advantage. Strong understanding of labour laws and HR best practices in Ghana and Africa is an advantage. Experience working in a consultancy or client-facing HR role is desirable but not mandatory.
