Job Summary

The Accounting & Office Administrator reports directly to the Financial Controller and is responsible for providing administrative support to the finance & accounting department.
As the Accounting & Office Administrator at Ashton Construction Services (ACS) you will:
Review distribute and maintain invoices related to the project/operations and G&A teams.
Ensure consistent and accurate entry of subtrades and vendors in accordance with formatting standards.
Verify and reconcile employee time clock entries to ensure accuracy of hours worked to support payroll & client billings.
Assist with project setup and closeout activities in inbuild ensuring compliance with company standards and documentation requirements.
Monitor shared communication channels to direct inquiries to appropriate individuals.
Review and track subtrade WCB insurance coverage maintain up-to-date records and communicate compliance status to project teams.
Provide administrative support to Financial Controller & accounting team including filing data entry and document management.
Ensure timely completion of monthly tasks including statutory declaration preparation.
Support the accounting department with overflow tasks such as accounts receivable processing month-end reporting and coverage during absences or vacations.
Assist with receipt and verification of incoming deliveries and general office housekeeping.
Management of office inventory & company assets including ordering and restocking supplies upkeep of licenses & registrations coordination of services etc.
Additional administrative support duties and tasks as may be assigned by Financial Controller.
Qualifications & Experience
Minimum 1 years experience in administrative role or equivalent.
Proficient in Microsoft 365 (Outlook Excel) with strong formatting document creation and data management skills.
Demonstrated ability of strong written and oral communication.
Experience with construction project workflows and accounting software (Procore QuickBooks Online inBuild) considered an asset.
Highly organized and detail-oriented self-starter with strong multitasking abilities and a solution-focused mindset.
Additional Requirements
Eligible to legally work in Canada without employer sponsorship.
Must live in the Bow Valley or able to commute to office on daily basis.
Compensation & Benefits
Remuneration based on experience starting at $26/hr.
Part-time position with flexible working hours (20-25/week) and option for hybrid work to support work-life balance and family time.
Cell phone allowance and access to company fleet as required for work purposes.
