About the Role We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive administrative and clerical support to the Executive Director Branch Administrator managers and staff. This role is essential in supporting day-to-day operations managing office coordination and ensuring efficient communication and record management across the branch.
The Administrative Assistant serves as a key point of contact for internal and external stakeholders and plays a vital role in maintaining an organized and productive workplace.
Key Responsibilities Administrative & Clerical Support

Provide day-to-day administrative support to ensure smooth branch operations.

Prepare proofread and format professional documents using Microsoft Word and other tools.

Draft correspondence memos templates and reports as required.

Manage and triage incoming emails to ensure timely and professional responses.

Maintain organized physical and digital records in accordance with records management standards.

Track documents and information using Excel and other digital tools.
-
Order and manage office supplies and ensure materials are well organized.
Executive & Leadership Support

Provide administrative support to the Executive Director and Branch Administrator.

Manage calendars schedule meetings coordinate appointments and prepare meeting materials.

Support leadership with document preparation follow-ups and information requests.

Coordinate distribution of packages mail and internal documents.
Meetings Events & Coordination
-
Organize branch events team activities and internal functions.
-
Coordinate meeting logistics including room bookings materials and technology setup.
-
Attend meetings as required and record accurate meeting minutes.

Track action items and follow up to support workflow continuity.
Qualifications Required

High School Diploma or GED
-
Minimum 1 year of experience in an administrative or similar role
-
Minimum 1 year of experience supporting senior leadership (e.g. Executive Director)

1 year experience using Microsoft Office Suite

Strong verbal and written communication skills
-
Ability to maintain confidentiality and professionalism
-
Strong attention to detail and ability to work accurately in a fast-paced environment

Must be located in Edmonton and able to work on-site
