Job Summary

About the Role

We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive administrative and clerical support to the Executive Director Branch Administrator managers and staff. This role is essential in supporting day-to-day operations managing office coordination and ensuring efficient communication and record management across the branch.

The Administrative Assistant serves as a key point of contact for internal and external stakeholders and plays a vital role in maintaining an organized and productive workplace.

Key Responsibilities Administrative & Clerical Support
  • Provide day-to-day administrative support to ensure smooth branch operations.

  • Prepare proofread and format professional documents using Microsoft Word and other tools.

  • Draft correspondence memos templates and reports as required.

  • Manage and triage incoming emails to ensure timely and professional responses.

  • Maintain organized physical and digital records in accordance with records management standards.

  • Track documents and information using Excel and other digital tools.

  • Order and manage office supplies and ensure materials are well organized.

Executive & Leadership Support
  • Provide administrative support to the Executive Director and Branch Administrator.

  • Manage calendars schedule meetings coordinate appointments and prepare meeting materials.

  • Support leadership with document preparation follow-ups and information requests.

  • Coordinate distribution of packages mail and internal documents.

Meetings Events & Coordination
  • Organize branch events team activities and internal functions.

  • Coordinate meeting logistics including room bookings materials and technology setup.

  • Attend meetings as required and record accurate meeting minutes.

  • Track action items and follow up to support workflow continuity.

Qualifications Required
  • High School Diploma or GED

  • Minimum 1 year of experience in an administrative or similar role

  • Minimum 1 year of experience supporting senior leadership (e.g. Executive Director)

  • 1 year experience using Microsoft Office Suite

  • Strong verbal and written communication skills

  • Ability to maintain confidentiality and professionalism

  • Strong attention to detail and ability to work accurately in a fast-paced environment

  • Must be located in Edmonton and able to work on-site

Preferred
  • Post-secondary education in Office Administration or a related field

  • Experience working in a government or public sector environment
