An HR Office Coordinator is at the heart of both our people operations and daily office activities ensuring a high-performance culture and a seamless well-functioning workspace. This role supports HR programs and initiatives including onboarding and wellbeing activities while also overseeing office operations such as maintenance reception vendor coordination and health and safety compliance. With a proactive detail-oriented and people-focused mindset the HR Office Coordinator helps create an organized welcoming and efficient environment that enables the team and the business to thrive.
As an Office Coordinator you will:
- Lead the HR induction and workplace orientation for new hires on their first day.
- Be responsible for the scheduling and administration of mandatory occupational health appointments.
- Coordinate the planning and execution of mandatory Health & Safety (H&S) training sessions.
- Manage and track the distribution of employee benefits cards (e.g: meal cards etc.)
- Coordinate execute and track the distribution of Welcome and Buddy Kits and/or any other HR related-material to both on-site and remote employees.
- Manage on-site wellbeing events and internal engagement activities.
- Maintain accurate digital and physical records ensuring all information is organized and up-to-date.
- Facilitate smooth and efficient internal communication across the Portugal team.
- Perform general HR administrative duties and ad hoc tasks as needed.
What youll bring:
- Bachelor degree.
- 2 years of experience as Administrative; HR Assistant or similar roles.
- Proficiency in G-Suite Tools and general computer literacy.
- Excellent communication and organizational skills
- Strong multitasking abilities and project coordination experience.
- Great attention to detail.
- Proactive can-do attitude with the ability to get things done.
- Service-oriented mindset with a focus on people.
- Fluency in written and spoken English.
