GENERAL DESCRIPTION:

The Development Coordinator is an integral part of the Development and Communications team supporting donor engagement annual appeals special events and gift processing. The Development Coordinator maintains positive relationships with donors sponsors and supporters while finding ways to deepen our engagement with them through events. This role will also support departmental administration by being the first point of contact for phone and email inquiries and support in gift processing and database management as needed.

SPECIFIC DUTIES & RESPONSIBILITIES:

Donor Engagement

  • Coordinate donor engagement opportunities virtually and in-person
  • Be the first point of contact for donors; answer telephone and email inquiries in a professional courteous and timely manner
  • Contact donors via phone email and mail to update their contact information credit card details and more
  • Monitor multiple inboxes and ensure inquiries are handled in a prompt manner
  • Develop a comprehensive understanding of the demographics of our database and the ability to adjust communication as needed
  • Identify and collaborate with Development Manager to move donors through our donor engagement cycle
  • Support stewardship activities including thank you calls thank you cards event invitations and more according to the Donor Engagement Plan
  • Coordinate the stewardship of Frontline Monthly Donors through annual touchpoints and personal outreach

Annual Fundraising and Events

  • Coordinate and support execution of existing events including but not limited to the annual Golf Tournament Coldest Night of the Year Shelter Gala and Friends of First
  • Support the Development Manager in organizing planning and executing annual appeals throughout the year
  • Assist with grant writing reporting and research
  • Support the Development Manager in soliciting sponsorship opportunities with corporate partners
  • Solicit donations through phone calls and emails to donors during annual appeals
  • Coordinate and schedule corporate and community of faith engagements with organizations and support their setup take down and execution

Gift Processing & Data Management

  • Learn internal gift processing systems including updating donor information data entry credit card and cheque processing issuing charitable tax receipts and acknowledgement letters and stewardship
  • Use database queries to pull lists for appeals events and analysis
  • Support the Development Operations Manager in producing post-appeal analysis
  • Support the Development Operations Manager in gift processing during busy seasonal periods and perform gift processing when coverage is needed
  • Update constituent records in Raisers Edge as needed

KNOWLEDGE & SKILLS:

  • Demonstrated ability to plan organize and execute events and projects
  • Demonstrate skill speed and accuracy with data entry and database use (Raisers Edge preferred)
  • Knowledge of CRA regulations of gift processing data management and charitable tax receipting
  • Ability to take initiative and capitalize on opportunities
  • Ability to effectively work with groups and with members of the public
  • Strong attention to detail and ability to consistently apply processes in daily work
  • Excellent written and verbal communications skills including telephone skills
  • Strong computer proficiency in a PC environment using Microsoft Office Microsoft Teams and various online platforms
  • Ability to handle sensitive and confidential information responsibly and with tact
  • Ability to work with a variety of individuals from all backgrounds with respect diplomacy and confidence

EDUCATION & EXPERIENCE:

  • Bachelors Degree or combination of education and experience
  • Minimum two years of experience in fundraising event coordination or gift processing at a charitable organization
  • Strong experience using Microsoft Office primarily Word and Excel
  • Strong experience in customer service and working with the public
  • Previous experience and aptitude using a CRM/database

SCOPE OF RESPONSIBILITY:

Latitude:

The incumbent works closely with the Development Manager to develop work plans and strategic priorities. The incumbent will also support and collaborate with the Development Operations Manager on tasks related to gift processing and gift fulfillment as needed.

INTERNAL/EXTERNAL RELATIONSHIPS:

Define any relationship accountability and communication needs with peers management leadership Board of Directors or external partners.

Regular communication is maintained with all levels of staff and management. Communication is also maintained with management and co-workers as work is assigned and completed and information exchanged on an ongoing basis.

  • Leadership team: Information regarding event details and fundraising updates
  • First United staff: to exchange information advise or receive instruction on specific tasks and to communicate daily
  • General public: regular communication to answer general inquiries emails etc.
