JOB DESCRIPTION:

This position provides routine clerical secretarial and administrative support services to professional legal staff in the Appellate Division of the Workers Compensation Board. The work requires knowledge of modern office practices and office equipment necessary to perform complex clerical tasks. Responsibilities require independent decision-making on the appropriate processes to follow information to process and actions to take in accordance with standard procedures. Work is performed under general supervision.

REPRESENTATIVE TASKS:

  • Prepare and distribute a variety of legal documents.

  • Manage Appellate Division cases in computer data base from initial filing to final decision.

  • Proofread and/or edit decisions and letters.

  • Maintain physical files and archive completed files.

  • Scan documents and maintain electronic files.

  • Maintain calendars and schedules.

  • Process incoming/outgoing mail.

  • Organize and distribute research materials and briefs to administrative law judges.

  • Respond to requests from administrative law judges.

  • Answer routine inquiries from attorneys litigants and the public based on knowledge of Appellate Division rules and procedures.

  • Become familiar with Appellate Division conventions and citation formats.

  • Record oral arguments.

  • Compile statistical information for reports.

  • Answer phones.

KNOWLEGES SKILLS AND ABILITIES REQUIRED:

  • Knowledge of modern office methods and procedures.

  • Knowledge of spelling punctuation grammar.

  • Familiarity with legal procedures and terminology.

  • Familiarity with or ability to become familiar with legal data bases.

  • Ability to operate modern standard office equipment.

  • Ability to draft legal and business correspondence.

  • Ability to use computerized and paper filing systems.

  • Ability to proofread and edit documents.

  • Ability to work with timelines and schedules.

  • Ability to process standard mail transactions.

  • Ability to determine facts detect errors and irregularities and resolve problems in accordance with established procedures.

  • Ability to communicate effectively in both written and oral form.

MINIMUM QUALIFICATIONS

Training education or experience in office and administrative support work that demonstrates 1) competency in applying a general knowledge of the principles and practices of office processes and administrative functions to perform routine secretarial support tasks and 2) the ability to use independent decision-making on the appropriate processes to follow information to process and actions to take in accordance with standard procedures.
