We are seeking an experienced Administrative Manager to join our this role you will be responsible for overseeing executive-level administrative support managing office operations and leading administrative and data analytics teams. You will serve as a liaison across departments maintain record and support initiatives and ensure confidentiality and efficiency in all office administrative and operational processes.

The Role
- Provide executive-level administrative support to senior leaders including managing calendars scheduling meetings organizing appointments and coordinating domestic travel (flights accommodations and transportation)
- Serve as a primary point of contact managing calls emails and correspondence and responding on behalf of executives when necessary
- Prepare edit and review correspondence reports presentations and other documents with a high degree of accuracy and professionalism
- Organize and coordinate events meetings and conferences handling all logistics preparing agendas and ensuring all necessary materials are available
- Track manage and process expenses reimbursements and maintain accurate financial and administrative records
- Manage day-to-day operations of administrative and data analytics teams delegating tasks monitoring productivity and improving internal processes
- Provide ongoing and ad hoc data analytics and reporting to the management team
- Identify evaluate and manage acquisition opportunities aligned with company strategy including due diligence and end-to-end process management
- Maintain and grow relationships with internal and external stakeholders acting as a liaison between departments and championing office culture
- Oversee office operations including vendor programs maintenance equipment and inventory management
- Proactively anticipate the needs of senior leaders suggesting solutions and addressing issues before they arise
- Maintain discretion and confidentiality in handling sensitive company and personal information
- Participate in onboarding and ongoing training activities for team members
- Other duties as needed
Requirements
- 5 years of experience in executive assistance administrative support financial management or business operations required
- Experience in accounting data analytics or construction-related administrative support preferred
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and ability to learn proprietary software
- Strong organizational time management and multitasking skills with attention to detail
- Excellent written and verbal communication skills
- Strong problem-solving analytical and decision-making abilities
- Ability to work independently cross-functionally and under pressure
- Ability to maintain confidentiality and handle sensitive information with discretion
- Flexibility and adaptability to changing priorities and needs as well as regulations or industry standards
- Capable of lifting and transporting material up to 25 pounds
- Perform repetitive motions including typing writing and using computer equipment
- Ability to maintain various postures including sitting for prolonged periods standing for occasional timeframes alternating between sitting and standing and occasional kneeling crouching or bending
- Sufficient visual acuity to read documents computer screens and fine print
- Clear hearing ability to communicate via telephone and in-person conversations
- Capacity to work independently utilizing telephones smartphones and headsets
- Willingness to work within normal business hours and be flexible to work outside those hours for urgent business needs
- Ability to maintain productivity during extended computer-based work periods
- Must provide a valid government-issued photo ID for verification; a drivers license is required if the role involves driving
- Passing of all pre-employment requirements (MVR Background Check Drug Screen)
