POSITION FUNCTION/PURPOSE
Responsible for coordinating the collection and reporting of district Public Education Information Management System
(PEIMS) data.
ESSENTIAL FUNCTIONS
1. Coordinate the collection integration and formatting of all data required for PEIMS submission according to
PEIMS Data Standards.
2. Work cooperatively with campus business and human resources office staff to collect organize and format
data required to submit district PEIMS data in a timely manner.
3. Run edits reports and verification checks on data to ensure accuracy of information.
4. Distribute edits and reports to appropriate staff for analysis verification and correction.
5. Submit complete and accurate PEIMS data in Texas Education Agency (TEA)-prescribed format to education
service center (ESC) for processing using computer terminal or personal computer.
6. Verify data submitted to TEA and submit corrections in a timely manner.
7. Comply with district policies and regulations in data management security and requirements to protect staff
and student confidentiality.
8. Responsible for PID (Personal Identification Database) reporting as required by TEA PEIMS.
9. Responsible for oversight of PET (PID Enrollment Tracking) as required by TEA PEIMS.
10. Basic understanding of Student Information Systems/Finance/HR Management systems as they relate to
PEIMS.
11. Develop and maintain a strong sense of customer service.
12. Communicate with various stakeholders including campus personnel district and state administrators other
district PEIMs personnel and software vendors etc.
13. Work closely with Information Management Services Department in formulation of the Back-To-School
Training packets for campus data procedures for student and staff information.
TRAINING AND TECHNICAL SUPPORT
1. Provide training and support to campuses Teaching and Learning Dept. Business and Human Resource staff
responsible for processing PEIMS data.
2. Oversee training and monitoring of campus personnel on TREx submissions.
3. Oversee PEIMS Edit permissions for the district and manage Edit accounts.
4. Receive PEIMS-related information from ESC and TEA and disseminate to other staff in a timely manner
including updates to PEIMS Data Standards and to Student Attendance Accounting Handbook.
5. Attend regional and state PEIMS workshops and disseminate information to appropriate staff.
6. Responsible for training staff on state and federal requirements on data management laws and procedures as
described in the PEIMS Data Standards (with emphasis on English Language Learners Special Education
Services and Discipline management).
7. Responsible for developing training
OTHER
1. Comply with policies established by federal and state law State Board of Education rule and local board
policy.
2. Compile maintain and file all physical and computerized reports records and other documents required.
3. Assist in development of and compliance with district policy in regard to state attendance accounting
requirements.
4. Oversee operations of student records department.
5. Work with records clerks and campus staff to move student records toward a fully digital environment.
6. Handle student records subpoenas from governmental agencies acting as the student records manager for the
district.
7. Acts as a liaison between student records staff and campuses as well as Information Management Services.
8. Create and prepare reports as requested by Executive Director.
9. Works with appropriate district staff in ensuring Data Validation Monitoring is in compliance with state
Performance Monitoring requirements
