Description

We are seeking an administrator to support students and staff in Years 7 8 and 9 in achieving our vision through highly effective communication systems implementation and strong relationship building within our learning community. The Administrator is line-managed by and liaises closely with the Vice Principal with responsibility for Years 7-9. The role specifically involves providing direct administrative and system support for all student and curriculum matters pertaining to students in these year groups acting as a vital link between the school its students and their families.

  • Leadership Support: Proven capability in supporting student development and curricular leaders.
  • Proactive Communication: Ability to maintain positive and proactive lines of communication between parents and the school.

Key Responsibilities 1. Support for Student Development and Curricular Leaders

  • Provide calendar management for leaders with responsibility for Y7-9.
  • Offer planning and logistics support for year-group specific events trips and venues.
  • Prepare and disseminate student letters and formal correspondence.
  • Manage student files (both paper and electronic) in accordance with school policy.
  • Maintain updated student records including status addresses and emergency contacts.
  • Manage student data and records regarding academic performance and development for analysis.
  • Oversee the allocation and management of student lockers.
  • Maintain office supplies and ensure sufficient internal forms and materials are available for the team.
  • Assist in the supervision and administration of internal and external examinations.

2. Proactive Communication between Parents and the School

  • Collate and disseminate relevant school information and updates to parents.
  • Act as the primary point of contact for parent and community inquiries related to Years 7-9.
  • Provide administrative and logistical support for parent-facing events including Parents Evenings and information sessions.

3. Direct Administrative Support to Students

  • Act as a welcoming and helpful point of contact for student inquiries within the Y7-9 office.
  • Manage the pre-authorisation process for student early leaves (sickness or outside activities).
  • Facilitate student access to appropriate support services as directed by the Head of Year.

4. Support for Admissions and Withdrawals

  • Liaise closely with the Admissions Department to support new student entry.
  • Coordinate the distribution of welcome packs and orientation materials.
  • Coordinate administrative tasks for student withdrawals and transitions.
  • Support the Y7 Transition Day and Y6 School Visits to ensure a smooth onboarding process for incoming students.

Requirements

  • Resilience: Able to work at pace in a busy environment rapidly prioritising tasks while demonstrating flexibility of mind and resilient good humour.
  • Interpersonal Skills: Happy to work with students parents and teachers; confident polite and friendly.
  • Communication: Strong command of both spoken and written English; Cantonese and Mandarin language skills and any other additional languages are also a significant advantage.
  • Technical Proficiency: High proficiency in MS Office and Google Workspace; desktop publishing and information management skills are highly valued.
  • Initiative: A proactive team player who can work independently to add value to the school environment.
  • Legal: Applicants must possess a valid visa to work in Hong Kong.
