Job Summary

This is a remote position.

Virtual Rockstar is looking for a full-time Administrative/ Marketing Assistant to support our clients growing practice. This remote position offers an exciting opportunity to help streamline administrative tasks assist with marketing initiatives and improve the overall patient experience. The ideal candidate will take on clerical and customer service duties to free up the on-site teams time for more patient care as well as support marketing efforts to enhance the clinics digital presence and outreach.

Our client is a holistic primary care clinic that focuses on treating the whole personmental physical and spiritual health. With a combination of in-person care and online coaching programs for weight loss they guide patients on their journeys toward healing self-discovery and preventative health. Their core philosophy is rooted in medical freedom body autonomy and the belief that the body has an extraordinary ability to heal when given the proper support. They work with individuals who are eager to understand the root causes of their illnesses and embrace a path to wellness that aligns with their personal values.

Responsibilities

Administrative Support

  • Assist with patient onboarding for online programs including evergreen automated courses and those with 1:1 interaction.

  • Create automations in the clinics EMR system and Mailchimp to streamline client communications and follow-up.

  • Help organize and streamline clinic systems to improve efficiency.

  • Coordinate team travel arrangements itineraries and other personal tasks (gift shopping home services reminders etc.).

Marketing & Social Media

  • Create schedule and manage social media content across platforms.

  • Develop engaging and informative content based on blog posts and repurpose these into a months worth of social media posts.

  • Create marketing materials using Canva aligning with the clinics brand and message.

  • Assist in running email marketing campaigns through Mailchimp including designing templates and automating workflows.

  • Monitor respond to and engage with online reviews and patient comments to maintain a positive brand image.

  • Help organize and promote online events workshops and webinars.

  • Analyze the effectiveness of marketing campaigns and suggest improvements based on data.



Requirements

  • Proficiency with Go High Level Google Workspace (Docs Sheets etc.) and Canva.

  • Experience in administrative support customer service and client communications.

  • Strong writing and communication skills to create engaging content and interact with clients.

  • Familiarity with social media platforms and content management tools.

  • Experience in creating email campaigns automations and managing digital outreach efforts.

  • A solid understanding of SEO and how it applies to online content and marketing.

  • Excellent organizational skills with the ability to manage multiple tasks in a fast-paced virtual environment.

  • Proactive self-motivated attitude with the ability to work independently and remotely.

  • Interest in health and wellness especially in the areas of whole-person care and self-healing.

  • Experience with online program management and customer service is a plus.

  • A passion for working in a holistic health environment and supporting patients on their wellness journey.
