DescriptionRedwood Coast PACE a program within Humboldt Senior Resource Center is looking for a full-time administrative assistant for the Rehab Department. The schedule for this position is 8 am to 5 pm.
JOB SUMMARY: The Rehab Administrative Assistant provides essential administrative and operational support to the Therapy Services team at Redwood Coast PACE. Under the supervision of the Therapy Services Manager this role is responsible for coordinating communication managing documentation tracking durable medical equipment (DME) and specialty service orders and assisting with departmental reporting and scheduling. The Rehab Assistant plays a key role in ensuring the smooth functioning of the rehab department by facilitating timely service delivery supporting staff and maintaining accurate records all while upholding the organizations values and commitment to participant-centered care.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Serves as the first point of contact for the rehab department. Answers screens and transfers rehab phone calls and emails.
- Triages referrals and sends to the appropriate rehab staff member.
- Documents orders and delivery of durable medical equipment.
- Documents orders and delivery of specialty items and services such as senior home repair specialty shoes gym membership and Individual Wellness activities.
- Prepares utilization and outcomes reports for Rehab Manager review.
- Performs general clerical duties including data entry faxing and mail distribution.
- Schedules and coordinates meetings for rehab staff.
- Provides administrative support to the Rehab Manager in the development of department procedures.
- Drives to other site locations and runs errands for the Rehab Manager.
- Follows agency policies for incident reports grievances and appeals.
- Communicates effectively with participants family members caregivers staff and visitors.
- Completes documentation accurately and in a timely manner.
- Demonstrates respect for and promotes participant rights including dignity self- determination access to care confidentiality and independence.
- Effectively collaborates with staff peers and contractors to meet Redwood Coast PACE goals and further success.
- Consistently meets or exceeds quality assessment and performance improvement targets.
- Participates in the process of teaching training and mentoring student interns and volunteers working within the program area.

- Additional duties may be assigned as needed that align with the responsibilities of the position and support the vision mission and values of the organization.
QualificationsEDUCATION & EXPERIENCE:
- High school diploma or GED equivalent required.
- At least two (2) years of customer service and/or office experience.
- At least one (1) year of experience working with a frail or elderly population preferred.
LICENSES OR CERTIFICATES:
- Valid California Drivers License and personal auto liability insurance preferred. Personal vehicle in good driving/operating condition insured for State minimum liability requirements that can be used for the applicable job functions noted above preferred.
PRE-SCREENING REQUIREMENTS:
- This position requires the successful completion of a background check.
- Completion of pre-employment physical and PPD skin test.
- A current Motor Vehicle Report (MVR) is required to determine eligibility for driving on behalf of the organization.
- Preferred COVID-19 and Influenza (flu) vaccinations.

PHYSICAL REQUIREMENTS:
The Rehab Assistant position requires the ability to work in a standard office environment with frequent use of computers phones and other office equipment. The role involves prolonged periods of sitting data entry and repetitive hand and wrist movements as well as occasional standing walking bending reaching and lifting or carrying files office supplies or equipment weighing up to 20 pounds. The position may also require occasional travel within the community to support departmental needs.
