Shift: 8am-5pm Mon-Fri and Every other weekend on rotation
Job Summary:
The Administrative Assistant will provide administrative support to funeral home staff and management ensuring efficient operations and a compassionate environment for families. This role requires strong organizational skills attention to detail and the ability to handle sensitive information with discretion.
Key Responsibilities:
- Assist with daily operations of the funeral home including answering phone calls greeting visitors and managing inquiries.
- Maintain and organize confidential records files and documents ensuring compliance with privacy regulations.
- Schedule appointments and coordinate services for families including funeral arrangements and meetings with funeral directors.
- Process paperwork related to funerals including death certificates permits and insurance claims.
- Prepare and maintain reports related to service arrangements inventory and financial transactions.
- Support financial operations by processing payments handling invoices and maintaining financial records.
- Order and maintain office supplies and equipment ensuring the office is well-stocked and organized.
- Collaborate with funeral directors and staff to ensure smooth operations and high-quality service to families.
- Assist with the preparation and distribution of informational materials for families such as brochures and service programs.
- Perform other duties as assigned to support the overall operations of the funeral home.
Qualifications:
- High school diploma or equivalent; associates degree preferred.
- Previous administrative or clerical experience preferably in a funeral home or healthcare setting.
- Strong communication skills both verbal and written.
- Proficient in Microsoft Office Suite (Word Excel Outlook) and comfortable with technology.
- Excellent organizational skills and attention to detail.
- Ability to handle sensitive and confidential information with integrity.
- Compassionate and empathetic demeanor with a commitment to providing excellent customer service.
