Title: Regulatory Administrative Assistant
Location: San Diego CA
Duration: 6 Months
Description:
The Regulatory Administrative Assistant will support the Regulatory Operations department with the preparation
of wholesaler distributor and manufacturer license applications for U.S. States.
The primary job functions will be:
Gathering and organizing information on clients facilities and representatives
Preparing draft State applications
Arranging for documents to be signed and notarized
Requesting checks from Accounting
Mailing prepared and signed applications or processing the applications electronically
Responding to inquiries from State governments
Maintaining libraries of documents in electronic document management systems
Keeping the status of activities current on trackers
Performs other work-related duties as assigned
Stakeholders Internal Customers:
Interacts with direct manager in Regulatory Operations to receive assignments and report on status of activities.
Interacts with members of Regulatory Operations team to give and receive training and to collaborate on projects.
Works with Regulatory Affairs Legal Quality and Operations to gather information and documents for applications.
Interacts with executive leadership to obtain signatures and arrange notarizations.
Participates on cross-functional project teams and meetings between departments on specific issues.
External Customers: Will interact with U.S. state government representatives in order to submit applications address inquiries and obtain copies of licenses.
Skills Required:
Associates degree or higher education
Prior experience managing complex information and documentation with minimal supervision
Highly detail oriented and highly organized
Able to learn new processes quickly including the use of electronic systems.
Able to apply creative problem solving to their work to ensure tasks continue to progress forward
Ability to use general office equipment (printers scanners)
Proficient with Microsoft Office Applications (Word Excel SharePoint Outlook Teams) Adobe Acrobat and DocuSign
Prior experience in the preparation of U.S. State wholesaler distributor or manufacturer license applications for drug or medical device companies
Public Notary certification
Paralegal or legal assistant experience and/or certification
