About the opportunity
The Executive Officer provides comprehensive executive support to the Deputy Vice-Chancellor Health (DVCH) and other senior leaders within the Health Office. As the Universitys largest academic portfolio Health encompasses significant scale and complexity requiring the Executive Officer to exercise sound judgement discretion and the ability to manage competing priorities.
Operating in a dynamic and high-pressure environment the Executive Officer manages a complex workload with a high degree of autonomy while ensuring the DVCHs commitments remain well coordinated. The role demands a high level of organisation initiative and the flexibility to adapt rapidly to emerging priorities and circumstances.
Serving as a central liaison between the DVCH Health academic units and broader University portfolios the position ensures alignment between strategic intent and operational delivery. The Executive Officer also contributes to the continuous improvement of systems and processes both in Health and across the University.
What youll do:
- Act as the primary point of contact for the Deputy Vice-Chancellor Health (DVCH) assessing and prioritising requests including sensitive and confidential matters and managing complex scheduling including diary coordination.
- Ensure the DVCH is prepared for all engagements and commitments through strategic scheduling and supporting briefing preparation.
- Oversee the flow of communication and documentation on behalf of the DVCH including drafting high-quality correspondence briefings and meeting documentation.
- Coordinate and continually improve administrative processes and systems within the Health Office including academic promotions probations and honorary titles.
- Display a high level of initiative and engage proactively with Health staff to facilitate coordinated support. Participate in regular coordination meetings contribute to annual planning cycles escalate complex matters appropriately and support integrated stakeholder management activities.
What were looking for:
- Experience in a senior executive support role preferably within a higher education or complex organisational environment with a demonstrated ability to manage sensitive information with discretion and maintain strict confidentiality.
- Exceptional written and verbal communication skills with the ability to communicate with impact tailor messaging for diverse audiences and produce high-quality correspondence briefings and documentation to support executive decision-making.
- Demonstrated experience supporting governance processes and working within regulatory and compliance frameworks with an understanding of organisational structures policies and legislative contexts.
- Proven ability to work autonomously and manage multiple complex projects and competing priorities in a dynamic environment consistently meeting tight deadlines and delivering high-quality outcomes while building effective working relationships across all levels of an organisation.
- Advanced proficiency in Microsoft Office Suite and digital collaboration platforms (e.g. Microsoft Teams) with experience using enterprise systems such as HR finance procurement and workflow tools and the ability to act as a system delegate or administrator where required.
Salary details
Appointment to this role will be at HEO 6 and will have a total remuneration package of up to $116872 comprising base salary within the range of $92120 to $99891 plus 17% superannuation.
